What You’ll Do:
The Administrative Assistant is a key operational and people-support role based in our Woodbridge, VA facility, with the ability to support additional centers as needed. This position serves as the on-site administrative hub, ensuring seamless coordination across operations, people processes, and facility needs.
Partnering closely with the VP, Clinical Operations, Senior HRBP, and center leadership, this role plays a critical part in executing day-to-day priorities, driving organization, and ensuring follow-through across multiple work streams.
This role is ideal for a highly organized, self-sufficient professional who thrives in a fast-paced, mission-driven environment and takes ownership of their work. The Administrative Assistant operates with a high degree of autonomy, proactively identifying needs, solving problems, and ensuring the center runs smoothly without requiring constant direction.
As part of a behavioral health crisis care environment, this individual must lead with empathy, discretion, and professionalism while supporting staff, partners, and individuals navigating complex and often urgent situations.
People and Team Support- Coordinate and facilitate Day 1 of onsite New Employee Orientation, ensuring all logistics, materials, and technology are in place.
- Help plan and execute team engagement and recognition events, including birthdays, milestones, and appreciation activities in partnership with the Senior HRBP and leadership.
- Serve as a trusted, approachable resource for staff, helping to connect them to the right resources and support.
- Provide administrative and operational support to the VP, Clinical Operations to ensure daily center operations run smoothly.
- Coordinate meetings, trainings, and special events, including scheduling, logistics, and material preparation.
- Serve as the primary point of contact for internal operational communications.
- Serve as the center’s compliance LMS (Relias) administrator to support new hire training and ongoing compliance.
- Manage billing, invoices, and administrative financial processes with accuracy and timeliness.
- Partner with the team to ensure a clean, safe, and functional environment; conduct fire drills; report and track maintenance issues and work orders.
- Manage ordering and inventory of medical supplies, linens, and housekeeping supplies for the center, ensuring alignment with budget guidelines.
- Serve as the primary point of contact for vendor coordination (e.g., janitorial, security, food services), including scheduling and on-site support.
