Location: District Service Center

Hours per Day and Times: 8 hours per day: 7:30 a.m.

- 4:00 p.m., with 1/2 hour unpaid lunch

Starting Pay: $20.58 per hour (Step
1)

Classification: 12 Month
- Class 5

Testing: Internal Office Professional candidates must have passed the qualifying testing prior to bidding. Successful candidates must have a qualifying score in Health Care Assessment, Microsoft Word, Basic Office Skills, and Following Written Instructions.

Position Summary

This position performs the enrollment activities for the district, primarily kindergarten enrollment, coordination and maintenance of enrollments for the Spanish immersion program, and collaboration with the homeless liaison as the initial contact for homeless services.

Primary Job Functions
  • Assist students, staff, and parents with greetings, directions, information, and customer service in person and over the phone.
  • Provide clerical support including correspondence distribution, data entry, copying, filing, Infinite Campus support, and use of Word and Excel.
  • Maintain confidentiality and data privacy for employees and students.
  • Treat students and staff with fairness and equity and support diversity.
  • Other duties as assigned.
Department Specific Job Functions
  • Oversee kindergarten enrollment process and verify information to families, administrators, and departments.
  • Oversee Spanish Immersion application and lottery process and maintain wait list.
  • Collect, verify, distribute, and maintain K-12 enrollment information with schools and departments.
  • Collect and provide information to departments to ensure smooth transfers and data accuracy in campus.
  • Coordinate communication between district homeless liaison, families, and staff.
  • Complete enrollment data requests for social security benefits and provide verification letters for federal tax and child support matters.
  • Work with special services staff to enroll students in center‑based programs.
  • Collect, distribute, and enter all MARRS correspondence into student data system.
  • Maintain accurate enrollment information and enter MARRS  into database.
  • Follow state records retention for enrollment data and health records.
  • Maintain graduation verification phone line and respond to company inquiries.
  • Follow up on address verification for new or returning students.
  • Oversee and process administrative transfers when students cannot enroll directly due to capacity.
  • Enter enrollment information into computer‑based system timely.
Job Specifications (Education, Licenses, Experience, Knowledge, Skills, and Abilities)

Required:

  • High school diploma or equivalent (new hires after July 1 2006).
  • Skills assessment per OPEIU testing process.
  • Active participation in district‑sponsored training when offered.
  • Excellent customer service skills in person and on the phone.
  • Strong organizational skills with attention to detail and multitasking ability.
  • Excellent written and verbal communication skills.
  • General clerical skills: working knowledge of Excel, Word, Infinite Campus, Outlook.
  • Basic accounting skills.
  • Prompt, regular, and reliable attendance.
  • Positive communication with students, parents, co‑workers, supervisors, and community.
  • Appreciation of diversity in interactions and job functions.
  • Proficiency in mail merge and label creation.
  • Proficiency using a database (Access preferred).
