Position Description
- Provides administrative and operational support, ensuring accurate scheduling, job closeouts, daily production tracking, and data management.
- Works closely with construction leaders, Project Managers, and customers to verify job information, estimate completion details, and maintain accurate project documentation.
- Plays a key role in data integrity across platforms to ensure timely and accurate job processing.

Compensation range reflects Universal Services’ good‑faith estimate at the time of posting. Actual compensation may vary based on experience, certifications, skills, market conditions, and internal equity.
Core Responsibilities- Communicate daily with construction leaders and peers regarding job completions, production, and scheduling updates.
- Record and update data in multiple platforms including Excel, Salesforce, Net Suite, and PDF editors.
- Manage and process job completions, ensuring all production data is accurate and complete.
- Assist with preparation of estimates and job documentation for customers.
- Investigate missing or incomplete information by coordinating directly with field and operations personnel.
- Track job progress and completion timelines to support billing and reporting accuracy.
- Communicate effectively across departments and with external customers to verify project status.
- Maintain organized documentation for all tasks.
- Perform additional administrative tasks as assigned.
- Schedule field crews for jobs, utility locates, and site access.
- High school diploma or equivalent required; associate degree preferred.
- 1–3 years of administrative or data‑entry experience in construction, telecom, or utilities.
- Proficiency with Microsoft Excel, Net Suite, and PDF editing tools (Adobe/Foxit).
- Excellent attention to detail, time management, and accuracy under deadlines.
- Strong organizational, written, and verbal communication skills.
- Ability to work both independently and collaboratively in a fast‑paced environment.
- Familiarity with Salesforce, Net Suite, or other CRM/project management platforms.
- Prior telecom or utility construction knowledge.
- Experience with production tracking and estimating workflows.
- Primarily sedentary role with extended periods of computer use.
- Occasional filing, lifting (up to 20 lbs.), or standing on a tool as required.
- High level of accuracy, accountability, and adaptability.
- Strong interpersonal and communication skills.
- Operates in a professional office environment with standard office equipment.
- Frequent interaction with internal and external teams via phone, email, and collaboration tools.
- Full-time, non‑exempt position.
- Standard hours are Monday–Friday, with flexibility for weekends or extended hours as necessary.li>
- Regular and punctual attendance is required.
- Complete Universal Services administrative onboarding within 90 days.
- Learn job closeout, data entry, and daily production tracking procedures.
- Gain proficiency in Excel, Net Suite, and Salesforce systems.
- Develop understanding of company workflows and interdepartmental communication processes.
- Continue improving accuracy and speed in data entry, estimating, and documentation.
- Cross‑train within other administrative departments to support company‑wide operations.
- Participate in Universal Services process improvement and systems development initiatives.
