Apple Valley, Minnesota. The Administrative Specialist is a key support role that keeps the office running smoothly.

- Provide administrative, clerical, and receptionist support, serving as the first point of contact for customers. " +"
- Handle routine office duties and work closely with the General Manager to ensure efficient operations. " +"
- Perform data entry, assist with billing, process accounts receivable and payable, and maintain financial documentation. " +"
- Manage phone calls, take messages, and field routine inquiries as a receptionist. " +"
- Organize and prioritize large volumes of information and communications. " +"
- Sort and distribute incoming mail for the General Manager. " +"
- Respond to requests for information and provide timely assistance. " +"
- Contact customers regarding billing issues, follow up on past‑due accounts and collections. " +"
- Maintain and update office databases (contracts, client information, signage, etc.). " +"
- Generate monthly and annual expense reports and other tracking reports. " +"
- Order office supplies and logo plates, and assist with internal procurement. " +"
- Support administrative tasks such as filing, typing, designing correspondence, and expense report processing. " +"
- Assist the General Manager with administrative needs. " +"

- Strong command of the English language. " +"
- Proficient with Microsoft Office Suite, especially Access and Excel. " +"
- High interpersonal skills to handle sensitive and confidential situations with poise, tact, and diplomacy. " +"
- Analytical ability to gather, summarize data for reports and troubleshoot administrative problems. " +"
- Excellent attention to detail, typing, proofreading, and ability to prioritize and meet deadlines. " +"
- Strong work ethic, professionalism, and proactive attitude. " +"
- Capable of working independently and as a team member in a small office. " +"
- Knowledge of office administrative procedures and standard office equipment. " +"
- Ability to handle confidential information and explain policies when necessary. " +"

- High‑school diploma or equivalent required. " +"
- Associates degree, business certification, or some college preferred. " +"
- Minimum of 6 months office experience; college education accepted in lieu of experience. " +"
- Other equivalent combination of education and experience accepted. " +"
- Preferred: 2 years of computer software use in an office setting. " +"
- Valid driver’s license required. " +"

- Monday‑Friday 8:00am–5:00pm work schedule. " +"
- Hourly rate of $22 per hour, dependent on experience and qualifications. " +"
