Position OverviewJDM Companies is seeking a highly organized, financially proficient, and proactive Finance & Administration Manager to oversee accounting, financial administration, contracts coordination, insurance compliance, and office management functions across multiple connected companies.
This individual will serve as a key operational leader within the company and will work directly with ownership and senior leadership to help build a highly organized, systems-driven, and professional organization. The ideal candidate is detail‑oriented, trustworthy, highly accountable, and experienced in construction, hospitality, farming, real estate, or other project‑based business operations.
This role requires strong financial acumen combined with exceptional organizational, communication, and administrative skills.
Key Responsibilities- Oversee bookkeeping and day‑to‑day accounting functions
- Manage accounts payable and accounts receivable
- Coordinate payroll processing and payroll records
- Monitor project budgets, job costing, and cash flow
- Assist ownership with financial reporting, forecasting, and financial organization
- Coordinate with CPA, tax professionals, and banking partners
- Maintain accurate financial records and reporting systems
- Manage construction contracts, subcontract agreements, and vendor documentation
- Track lien releases, insurance certificates, and subcontractor compliance
- Coordinate permit documentation, filings, and administrative project requirements
- Maintain company licenses and regulatory compliance records
- Oversee insurance renewals and coordinate with insurance brokers and carriers
- Support risk management and contractual documentation processes
- Organize and maintain contract and document management systems
- Oversee day‑to‑day office operations and administrative systems
- Manage schedules, calendars, filing systems, and company documentation
- Coordinate communication between departments and project teams
- Support leadership with meeting coordination, task management, and operational follow‑through
- Organize digital records, project files, and internal procedures/workflows
- Support onboarding and administrative setup for new employees
- Assist with issuing company assets and managing office systems
- Support project managers and leadership with administrative coordination
- Help implement company systems, workflows, and operational standards
- Participate in leadership meetings and operational planning discussions
- Contribute to continuous improvement of company processes and efficiencies
- Help create a highly organized and professional operating environment across the business
- 5+ years of experience in accounting, administration, office management, or financial operations
- Strong organizational and administrative capabilities
- High attention to detail and accuracy
- Strong communication and interpersonal skills
- Proficiency in Quick Books or similar accounting software
- Proficiency in Microsoft Office, especially Excel
- Ability to manage multiple priorities and projects simultaneously
- High level of integrity, professionalism, and confidentiality
- Experience in construction, hospitality, farming, real estate development, architecture, or other project‑based industries
- Experience with job costing, project accounting, contracts, insurance tracking, or compliance documentation
- Familiarity with permits, subcontractor coordination, and construction‑related administration
- Experience helping build operational systems within a growing company
