Job Description:

The Executive Assistant performs advanced, diversified and confidential administrative duties in support to the Planning, Design & Construction department in reaching its goals. The EA manages and oversees all administrative procedures and processes required to successfully manage the portfolio of project work overseen by the PD&C group.

Job Qualifications and Competencies Associates degree and five (5) years administrative experience in a similar professional environment, or equivalent combination of education and experience in a related field.

Initiative and judgment to solve work-related problems and prioritize.

Proficient in scheduling, Google Mail, Google Calendar, Google Drive, Word, PowerPoint, Excel, File Maker Pro, Project Ability to research, analyze, and summarize information.

Ability to foster a collaborative, team-centered environment.

Excellent communications skills.

Excellent time management skills.

Excellent organizational skills.

Excellent customer service skills.

Ability to handle high level administrative issues with discretion, timeliness, and sound judgement.

Requires knowledge of office practices, procedures and equipment, including filing systems, receptionist and telephone techniques, and letter and report writing.

Sufficient knowledge of proper English usage, grammar, spelling, and punctuation to prepare professional correspondence and reports.

Ability to receive and properly control sensitive, confidential, and private information.

Ability to learn, interpret, explain and apply knowledge of department organization, operations, programs, functions, and special terminology used in the organization unit.

Ability to plan, organize and prioritize work in order to meet schedules and timelines.

Ability to work as contributing member of a team, work productively, patiently, and cooperatively with other teams and external customers.
