This is an exciting opportunity to provide high-level executive administrative support to the Senior Vice President of Retail Pharmacy & Payer Relations, and as well as VPs within the organization. The Retail Pharmacy & Payer Relations organization plays a critical role in shaping opportunities for growth within our retail pharmacy space. The Executive Assistant (EA) serves as a trusted business partner to the SVP of Retail Pharmacy & Payer Relations, providing comprehensive administrative, operational, and logistical support in a fast-paced, highly confidential environment.
The ideal candidate is a tech-savvy, motivated self-starter with exemplary planning and time management skills, the ability to work with limited direction, and the judgment to anticipate needs and resolve issues independently. This role requires superior written and verbal communication skills, an ability to interact professionally with senior leaders and external partners, and unwavering discretion when handling sensitive information.
Key Responsibilities:
- Manage complex executive calendars and communications for the SVP and VP, coordinating high-volume meetings across multiple time zones, resolving scheduling conflicts, and ensuring seamless meeting execution
- Coordinate executive meetings, events, and travel logistics, including agendas, presentations, meeting materials, detailed itineraries, off-site events, domestic/international travel arrangements, and expense management through Concur
- Provide comprehensive administrative support by preparing executive communications, presentations, reports, and correspondence, while tracking priorities, deliverables, deadlines, and special projects
- Serve as a trusted liaison and strategic partner to senior leadership, maintaining strong stakeholder relationships, facilitating communication across teams, and supporting business objectives and organizational priorities
- Manage sensitive information and operational processes with discretion and confidentiality, including onboarding/offboarding activities, document management, vendor coordination, and process improvement initiatives
Required Qualifications:
- 3+ years of progressive administrative experience supporting senior leadership, ideally direct support to VP-level or above executives
- Demonstrated experience managing complex calendars, executive phone coverage, and detailed work and travel itineraries
- Advanced proficiency in Microsoft 365 tools, including Outlook, Teams, PowerPoint, Word, Excel, and Share Point
- Proven ability to work with and maintain confidential information
- Exceptional organizational, written and verbal communication, and time-management skills, with the ability to manage competing priorities accurately and professionally
Preferred Qualifications:
- Demonstrated experience supporting Vice President-level or higher executives within large, complex, matrixed organizations, preferably in healthcare, pharmacy, insurance, or other highly regulated industries
- Proficiency with enterprise travel and expense management systems, such as Concur, along with strong organizational and project coordination skills in fast-paced environments
- Excellent communication and interpersonal skills, including a professional executive presence, strong relationship-building capabilities, and the ability to effectively interact with senior leaders and stakeholders
- Strong critical thinking and judgment, with the ability to navigate ambiguity, prioritize competing demands, adapt schedules as needed, and translate meeting discussions into clear, actionable next steps
