Position:
Sr. Contracts Administrator
Location: Worcester, Massachusetts (On-site)
Compensation: $85,000–$110,000 plus bonus

The Role: Contracts Administrator is a highly visible role that sits at the intersection of project operations and finance and will oversee contract administration, project billing, compliance, and collections activities while partnering closely with Project Managers and Accounting leadership.
The Sr. Contracts Administrator's Responsibilities
- Manage the full contract administration process, including project setup, contract review, change order tracking, and project closeout.
- Prepare and submit construction billings, including AIA, time-and-materials, lump sum, and cost-plus invoices.
- Partner with Project Managers to ensure accurate billing, contract compliance, and project documentation.
- Track retainage, lien waivers, compliance requirements, and customer billing portal submissions.
- Monitor accounts receivable aging and assist with collections and dispute resolution.
- Serve as a liaison between Operations and Finance to support accurate project reporting and month-end close activities.
- Maintain data integrity within ERP systems and related project accounting platforms.
- Identify and implement process improvements that increase efficiency, scalability, and reporting accuracy.
Qualifications
- 3–5+ years of construction billing, contract administration, or project administration experience.
- Strong experience with AIA billing and construction invoicing processes.
- Experience working within construction ERP systems;
Vista/Viewpoint experience is highly preferred. - Working knowledge of construction contracts, change orders, and project billing requirements.
- Strong Excel skills and the ability to manage and analyze project-related data.
- Highly organized with the ability to manage multiple projects and deadlines simultaneously.
- Strong communication skills and the ability to work effectively with project teams, customers, and finance leadership.
- Associate's degree preferred; equivalent experience will be considered.
