SummaryThe Executive Assistant (EA) is responsible for providing comprehensive support to the President of Webster First Federal Credit Union. This position requires the ability to understand and anticipate needs, quickly assess complex situations, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
The EA will act as a liaison to the Board of Directors and will be responsible for managing confidential information and facilitating communication with stakeholders within and outside of the company. They will partner with the senior leadership team to ensure those responsibilities are managed.
The EA will need to be extremely detail-oriented, professional, highly organized, motivated and must be able to work collaboratively and independently. The EA will need to identify and troubleshoot issues of concern or significance, exercise discretion to provide timely information and necessary updates, and remain calm in high-pressure situations. The EA will be responsible for managing multiple priorities, along with scheduling multi-party meetings and events for the executive office.
This is a fully onsite position (not remote/hybrid), located in Worcester, MA and may require occasional work/overtime outside of normal business hours for special meetings and events.
- Screen, prioritize, and manage phone communications on behalf of the President
- Work with the President to ensure daily operations run efficiently, including managing professional and personal calendars, making travel arrangements, handling expense reports, and organizing meetings.
- Draft, edit, and proofread documents, reports, presentations, and correspondence.
- Serve as a point of contact between the President, clients, and colleagues. Act as a gatekeeper as needed to maintain productivity.
- Handle personal tasks and responsibilities, including managing personal appointments with discretion and confidentiality.
- Approve Paid Time Off requests for Executive Leadership team.
- Manage and process invoices.
- Provide timely notes and meeting recaps.
- Complete other duties as needed.
- Conduct research, gather relevant data, and provide insightful reports and recommendations to support the President’s decision-making process.
- Work with the executive team and other departments to gather and compile information required for board meetings.
- Prepare the Board of Directors meeting materials, set up the boardroom, purchase and set up refreshments, and organize board dinners as needed.
- Schedule and coordinate monthly and annual leadership meetings.
- Manage and organize conference trips and travel for employees and leaders.
- Coordinate and organize a wide variety of activities and high-profile events (e.g. meetings, conferences, strategic sessions, etc.).
