Salary: $32 - $40 per hour
About usWe are seeking a dynamic and seasoned Legal Administrative Assistant to join our high‑performing team. This is a full‑time, permanent position that offers the opportunity to work in a fast‑paced, innovative environment. This role is integral to the firm’s operations and will provide comprehensive administrative support to our legal team. The successful candidate will have a strong background in estate planning, tax planning, probate, and trusts.

- Provide administrative support to attorneys, paralegals, and other legal staff.
- Manage and maintain attorneys’ calendars, scheduling meetings, appointments, and travel arrangements.
- Prepare and process legal documents and papers, such as summonses, subpoenas, complaints, appeals, motions, and pretrial agreements.
- Assist with estate planning, tax planning, probate, and trusts.
- Manage time entries, billing, and invoicing processes to ensure accuracy and timeliness.
- Maintain electronic and paper filing systems, ensuring information is kept organized and easily accessible.
- Draft and proofread correspondence and legal documents, such as wills and contracts.
- Utilize document management system (Net Docs) effectively for proper storage and retrieval of documents.
- Perform other related duties as assigned, demonstrating flexibility and willingness to pitch in where needed.
- Minimum of 5 years of experience as a Legal Secretary or Administrative Assistant in a law firm or professional services setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential.
- Experience with Net Docs or similar document management system is required.
- In-depth knowledge of legal procedures, terminologies, and protocols.
- Experience in estate planning, tax planning, probate, and trusts is highly desirable.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to handle multiple tasks simultaneously and prioritize workloads effectively.
- Demonstrated ability to maintain confidentiality and exercise discretion.
- Proven ability to work under pressure and meet tight deadlines.
- Strong interpersonal skills, with the ability to work independently and as part of a team.
- High level of professionalism and a proactive approach to work.
