Job Description - Clerk V – Jackson Square )

The Department of Children and Families (DCF) is seeking a mission-driven, dedicated individual to fill the role of Clerk V. The selected candidate will perform clerical support activities primarily for the Area Director and the Area Management Team.

Duties and Responsibilities
  • Assignments of a confidential nature.
  • Receive and screen telephone calls for the Area Director.
  • Answer and/or refer inquiries to appropriate parties for action.
  • Supervision and back-up for assigned support staff.
  • Enter data on Family Net.
  • Compose and/or prepare correspondence, reports, and/or memoranda as requested.
  • Coordinate records production for external requests including records production, redacting and printing.
  • Maintain files and records such as correspondence, confidential records, etc.
Preferred Qualifications
  • Demonstrated ability on all office equipment including PC, photocopier, scanner, fax.
  • Ability to effectively handle complaints presented or referred to the Director.
  • Aptitude to work with culturally diverse populations.
  • Demonstrated ability to maintain a professional demeanor in the public forum.
  • Knowledge to utilize Word, Excel, Access, Family Net System and i‑Family Net.
  • Experience planning, organizing and carrying out office events.
  • Ability to carry out work activities with a minimum of direction.
  • Ability to establish systems to improve overall performance of all clerical functions.
  • Aptitude to organize and improve filing system.
Qualifications

Applicants must have at least four years of full‑time (or equivalent part‑time) experience in office work, of which at least one year must have been in a supervisory or administrative capacity. Substitutions are available as follows:

  • Diploma as evidence of graduation from a commercial or business course of a recognized high school or vocational/technical high school may substitute a maximum of one year of required experience.
  • Diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may substitute a maximum of eight months of required experience.
  • Diploma for completion of a one‑year, full‑time (or equivalent part‑time) program in a recognized, non‑degree granting business or secretarial school above the high school level may substitute a maximum of one year of required experience.
  • Diploma for completion of a two‑year, full‑time (or equivalent part‑time) program in a recognized, non‑degree granting business or secretarial school above the high school level may substitute two years of required experience.
