Administrative Assistant, Commercial & Investment Bank
The role involves providing exceptional executive support within the Commercial & Investment Bank, managing calendars, coordinating meetings, handling expenses, and maintaining confidentiality for executives, managers, and stakeholders.
Job responsibilities- Manage and handle complex and detailed calendars, including urgent meetings and conference calls, coordinating with local and overseas offices.
- Employ good judgment when handling confidential information.
- Identify and elevate critical issues and follow up with required actions.
- Provide professional telephonic and on-floor visitor support, addressing issues timely and with impeccable etiquette.
- Arrange and coordinate complicated domestic and international travel (air, hotel, ground transportation), preparing detailed itineraries, visas, and ensuring accuracy and timely delivery.
- Coordinate schedules and logistics for overseas VIP visitors.
- Assist in organizing high‑quality client or senior internal meetings and events, coordinating with corporate and front office teams.
- Adhere to control policies and procedures (budget, compliance approvals, documentation), acting as a subject‑matter expert with proper record keeping.
- Process invoices and T&E expense claims for team members and consultants.
- Take on increased or new responsibilities as needed.
- Support overflow, special projects, and provide backup coverage for other assistants (Calendar, Travel, Concur) as part of the assistant pool.
- At least 4 years of administrative experience.
- Strong partnership skills and ability to develop relationships with peers and clients.
- Ability to collaborate and work well in a fast‑paced, team‑orientated environment.
- Prioritize and handle multiple tasks simultaneously with flexibility.
- Work with limited supervision, perform under pressure, and meet tight deadlines.
- Excellent interpersonal and communication skills, with proven experience interacting with senior management.
- Meticulous attention to detail, excellent organizational skills, and discretion with confidential information.
- Strong analytical, problem‑solving, and critical‑thinking skills.
- Bachelor’s Degree preferred.
- Project management experience and administrative professional certification a plus.
- Experience in events planning and the investment banking environment.
- Business‑level spoken and written capabilities in English and Mandarin.
