Trinity Lutheran Church is an open and affirming congregation in Worcester, Massachusetts. We are a family-friendly church and seek a part time Office Manager to execute tasks and procedures in a way that communicates the values and spirit of our congregation. The Office Manager collaborates with the ministry staff, support staff, building staff, Council, and committees to coordinate daily office activities and communicate the activities to the congregation and general public.

REPORTS TO:

Lead Pastor (or Council President in the absence of a call pastor)

STATUS:
Part-Time, 25 hours per week, Monday-Friday 10:00 am-3:00 pm (or 9:00 am-2:00 pm).

Position Purpose

The Office Manager is responsible for coordinating the daily administrative operations of Trinity Lutheran Church and facilitating effective communication among church staff, ministry leaders, congregation members, and the public. The Office Manager serves as the primary administrative support for the congregation and helps ensure the efficient functioning of church programs, records, communications, and office systems.

In keeping with the mission of Trinity Lutheran Church, the Office Manager is expected to work collaboratively and respectfully with staff, congregation members, volunteers, visitors, tenants, and community members. Professional conduct, discretion, and confidentiality are essential requirements of this position.

Essential Duties and Responsibilities
  • Manage the day-to-day operations of the church office in an efficient, accurate, and confidential manner.
  • Maintain church records, membership records, and other permanent administrative records.
  • Prepare and distribute communications to church leadership, committees, ministry teams, congregation members, and the public.
  • Coordinate and oversee the production of church publications and communications, including bulletins, newsletters, electronic communications, and related materials.
  • Support Church Council, committees, and ministry teams by preparing and distributing meeting materials and maintaining records as needed.
  • Maintain and manage church calendars, facility scheduling, and space reservations.
  • Maintain personnel files and administrative records in accordance with church policies and applicable guidelines.
  • Coordinate background check processes and maintain related documentation in accordance with Synod requirements.
  • Maintain vendor records and contracts and coordinate purchasing of office supplies and materials.
  • Support church communications through electronic platforms, website updates, and other communication tools.
  • Recruit, coordinate, and provide direction to office volunteers as needed.
  • Participate in staff meetings and collaborate with ministry staff to support congregational goals.
  • Provide administrative support and related services to church staff, ministry leaders, and congregation members.
  • Perform other duties as assigned consistent with the responsibilities of the position.
Qualifications
  • Bachelor's degree preferred.
  • Minimum of three years of office administration experience.
  • Proficiency with standard office equipment and computer applications.
  • Strong written and verbal communication skills with demonstrated attention to detail.
  • Excellent organizational and project management skills.
  • Ability to manage multiple priorities, meet deadlines, and adapt to changing demands.
  • Experience with database management, document preparation, scheduling systems, and office software.
  • Experience with website maintenance and social media platforms preferred.
  • Ability to supervise, coordinate, and support volunteers effectively.
  • Self-starter with the ability to work independently and as part of a team.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • Strong interpersonal skills and a welcoming, service-oriented approach.
