- Perform secretarial and administrative support for assigned physicians, faculty, and medical service line chiefs
- Coordinate medical office activities and assigned staff, including training, scheduling, process improvements, and performance monitoring
- Transcribe medical reports and produce correspondence, reports, and memoranda
- Proofread and edit manuscripts, grant applications, academic papers, and professional materials
- Attend meetings as recording secretary and distribute agendas and minutes
- Coordinate residency, fellowship, clerkship, and graduate or undergraduate education programs as assigned
- Arrange faculty meetings, activities, travel, and conferences
- Schedule and coordinate inpatient and outpatient visits and medical procedures
- Coordinate internal and external meetings
- Greet patients and visitors and provide standard information
- Receive and address patient‑care phone calls and elevate matters appropriately
- Respond to emergency needs involving physicians and clinicians
- Issue and verify managed‑care referrals
- Register patients and schedule visits using computer‑based systems
- Verify insurance coverage and eligibility
- Escort and chaperone patients as required
- Collect patient copayments, maintain records, and make daily cash deposits
- Perform charge entry and submit encounter forms to billing
- Process administrative paperwork and follow up to expedite action
- Provide guidance on medical‑office and administrative policies and procedures
- Maintain confidential files, medical records, and academic materials
- Maintain office supplies and equipment
- Coordinate basic setup and maintenance of office computers and equipment
- Participate in performance‑improvement initiatives
- Ensure compliance with health and safety requirements and regulatory agencies
- High school diploma
- 6–12 months of additional specialized medical secretarial or medical office training
- 2–3 years of medical secretarial or administrative support experience
- Thorough knowledge of medical office procedures and UMMHC business and academic administrative practices
- Proficiency with word processing, spreadsheets, presentation graphics, databases, Medi-Tech, IDX, Lynx, and related systems
- Equivalent combination of education and experience may substitute for the stated requirements
- Position may require travel between the University, Belmont St, and Hahnemann campuses
Demonstrates proficiency in medical office procedures, administrative support, and patient coordination while ensuring compliance with health and safety regulations. Capable of managing office activities, training staff, and maintaining confidential medical records.
