Job Responsibilities Patient Coordination & Communication- Serve as a liaison between patients, orthopedic providers, diagnostic facilities, and insurance companies.
- Communicate testing instructions, appointment details, and follow‑up plans clearly to patients.
- Answer patient questions related to testing or referral processes.
- Ensure timely submission of referral paperwork and documentation.
- Track referral status and follow up with providers to confirm patient appointments are scheduled.
- Schedule and coordinate diagnostic tests such as MRIs, CT scans, X‑rays, bone scans, EMGs, or ultrasounds.
- Verify test orders with physicians and ensure the correct testing protocols are followed.
- Communicate with radiology/imaging centers to arrange appointments and ensure timely results.
- Obtain insurance pre‑authorizations or approvals for tests and referrals when required.
- Ensure all procedures comply with insurance guidelines to avoid claim denials.
- Communicate with insurance companies regarding coverage, billing codes, and documentation needs.
- Enter all referrals, test orders, results, and communication notes into the Electronic Medical Record (EMR) system accurately.
- Track and follow up on outstanding test results or referral reports.
- Maintain confidentiality and compliance with HIPAA regulations.
- Work closely with orthopedic surgeons, physician assistants, and medical assistants to ensure seamless patient care.
- Participate in staff meetings and workflow improvement initiatives.
- Strong knowledge of orthopedic terminology and procedures.
- Familiarity with diagnostic imaging processes.
- Excellent communication and interpersonal skills.
- Proficiency with EMR systems (eClinical
Works/Epic). - Understanding of medical insurance and referral processes.
- Strong attention to detail and organizational skills.
