Job Summary

We are seeking a Rehab Office Coordinator to support the rehabilitation departments at Blaire House of Worcester and West Side House . This is a split position , requiring the individual to work between both locations and coordinate the day-to-day administrative operations of the rehabilitation departments.

The Rehab Office Coordinator is responsible for coordinating and supervising the operations and duties of administrative and clerical staff while ensuring the rehabilitation offices operate efficiently and provide excellent service to residents, families, and staff.

We have a unique mission and dedicate 100 percent of our services to Dementia and Alzheimer's Disease. West Side House is also dedicated to providing quality care and rehabilitation services to our residents. This position will provide administrative support to the rehabilitation departments at both facilities .

Job Qualifications
  • Good physical and mental health.
  • Finger and hand dexterity to handle and manipulate instruments and equipment.
  • Visual and auditory acuity.
  • Knowledge of vocabulary and grammar.
  • Ability to lift a minimum of fifteen (15) lbs. and carry objects.
  • Ability to push and pull and continuously walk, sit, and stand.
  • Ability to turn, crouch, kneel, stoop, bend below waist, and reach above shoulder height as tasks dictate.
  • Must use good body mechanics.
  • Neat and well groomed.
  • Ability to type and take manual shorthand or transcribe from a dictation machine.
  • Must project a positive attitude toward the services provided.
  • Familiarity with medical billing systems, medical coding, and basic medical terminology.
  • Understanding and competency in performing needed tasks within an EMR.
  • Complete training in HIPAA, medical coding, blood borne pathogens, COR, emergency procedures, and other clinical/administrative issues.
  • Strong customer service skills with the ability to handle escalated issues.
  • Ability to supervise, train, and evaluate new and current staff on office procedures and policies.
  • Ability and willingness to work at both Blaire House of Worcester and West Side House as part of a split position.
Primary

Job Duties
  • Ensure the rehabilitation office is open and appropriately staffed during regularly scheduled hours and special events.
  • Ensure facilities and equipment are available, operational, safe, and clean.
  • Select, train, supervise, and monitor the quality and productivity of site staff.
  • Communicate the need for additional rehabilitation staff as needed.
  • Develop daily staff schedules, review timecards, and provide input for payroll calculations.
  • Communicate and ensure compliance with company policies and procedures.
  • Resolve payer source corrections within rehabilitation originating at the site.
  • Interact with residents and families and address service-related concerns.
  • Inspect and maintain records related to facilities and equipment.
  • Schedule patients for new and ongoing treatments.
  • Coordinate administrative operations between Blaire House of Worcester and West Side House .
  • Travel/work between both locations as required by the needs of the rehabilitation departments.
  • Perform other duties as assigned.
