WORKDAY SYSTEM ADMINISTRATOR AND ANALYST

Workday System Administrator & Analyst in the Department of Innovation and Technology. The Workday System Administrator & Analyst is responsible for the effective configuration, optimization, and security of the City’s Workday HCM and Financials environments.

Under the direction of the Director of IT Applications, the position will ensure business continuity, data integrity, and compliance with applicable policies and regulations. The duties of the position support cross‑functional teams and drive continuous improvement in system operations.

ESSENTIAL ELEMENTS
  • Execute the roadmap for Workday HCM and Financials, including post‑implementation and ongoing administration.
  • Oversee tenant configuration, security groups, and release planning.
  • Manage business processes, calculated fields, condition rules, notifications, and approval workflows across all modules.
  • Administer custom fields, objects, validations, and maintain configuration workbooks and process documentation.
  • Lead configuration sessions for new implementations and modules; support business cycle configuration (payroll, academic, financial periods).
  • Monitor and ensure alignment of Workday releases, assess impacts, and partner in testing updates to ensure continued data integrity and business process operation.
  • Ensure adherence to all security, availability, confidentiality, and privacy policies and controls.
  • Oversee access management, integrated data systems, and user‑centric support services.
  • Support data governance initiatives and data quality improvements.
  • Follow established IT change control procedures and maintain consistent data definitions.
  • Conduct regular data audits, resolve inconsistencies, and ensure alignment across HR, Finance, and other institutional systems.
  • Provide advanced technical support and troubleshoot issues with applications and integrations (EIBs, Core Connectors, Studio).
  • Develop and maintain vendor integrations between Workday and third‑party service providers.
  • Monitor and troubleshoot EIB processes and data loads; support data validation and reconciliation activities.
  • Assist with data conversion, migration, and validation during implementations.
  • Design, create, maintain, and support a variety of reports and queries—both standard and custom—to provide actionable insights for leadership.
  • Champion and drive major Workday initiatives, such as semi‑annual release testing and new feature adoption.
  • Establish a culture of continuous improvement by actively evaluating new Workday features and emerging technologies.
  • Maintain strong relationships with business stakeholders across departments.
  • Ensure 24/7 business continuity by monitoring system health, responding to alerts, troubleshooting performance issues, and implementing emergency fixes as needed.
  • Prioritize issues based on business impact and coordinate with technical teams to restore service.
  • Other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
  • Strong knowledge of Workday administration and configuration, with a focus on HCM and financial modules.
  • Experience with data analytics and visualization.
  • Strong analytical, problem‑solving, and decision‑making skills.
  • Ability to manage multiple complex projects and competing priorities; perform multiple tasks in an organized, detailed, and timely manner and meet deadlines.
  • Excellent organizational and documentation skills.
  • Ability to exercise independent judgment and take action on it.
  • Excellent listening, interpersonal, written, and oral communication skills.
  • Logical and efficient, with keen attention to detail.
  • Highly self‑motivated and directed.
  • Experience working in a team‑oriented, collaborative environment.
  • Regular onsite attendance is required.
  • Ability to perform comprehensive testing and quality assurance for Workday upgrades, enhancements, configuration changes, and system updates.

MINIMUM REQUIREMENTS
  • Bachelor’s degree in information systems, business administration, computer science, finance, HR, or related field; OR any equivalent combination of education, training and five (5) years of experience which provide the required knowledge, skills and…
