Overview

The Application System Specialist serves as a subject matter expert for Workday Recruiting & Reporting, delivering application configuration, support, requirements analysis, and solution design aligned with business needs. This role leads projects and optimization efforts end-to-end, including effort estimation, workstream management, and cross‑functional collaboration, while operating with minimal oversight. The Specialist acts as a trusted advisor and mentor, supports team development, and provides leadership coverage as needed by leading meetings, managing urgent issues, and ensuring effective follow‑through.

The role drives continuous improvement and innovation through ongoing learning, certifications, vendor partnership, and collaboration with stakeholders to align system capabilities and product roadmaps with organizational goals.

Major Responsibilities
  • Critical Incident Management: Key member of the team, handling challenging projects and critical incidents, providing expert guidance during high‑impact situations.
  • Knowledge Sharing: Embraces unknown issues as learning opportunities, proactively shares discovered knowledge with the team, engages with vendors and systems to solve complex problems.
  • Continuous Knowledge Advancement: Obtains application certifications, stays updated on system configurations, emerging technology and industry trends, and participates in professional development programs.
  • Project Leadership: Leads projects with appropriate input, gets responsible for outcomes and manages tasks effectively.
  • Project Estimation: Assists in estimating hours required for upcoming projects to facilitate accurate planning and resource allocation.
  • Workflow Optimization: Recommends and implements workflow modifications, collaborates with key vendors, applies user‑experience design principles, utilizes lean belt methodology to improve efficiency and reduce waste, directs configuration of application features and security settings, and creates support documentation including test scripts and workflow diagrams.
  • Mentorship & Coverage: Acts as primary advisor to team members, department colleagues, and organizational staff, supports new staff integration, innovates, and covers managerial responsibilities in the leader’s absence.
  • Barrier Identification & Escalation: Proactively identifies barriers to completing work, escalates issues with proposed solutions.
  • Meeting & Project Lead: Leads meetings, develops agendas, assumes accountability for follow‑ups, establishes closed‑loop communication, works on cross‑functional projects, manages optimization requests/projects and schedules, allocates resources, and seeks new assignments or stretch goals.
  • Technical Troubleshooting & Support: Investigates and resolves application and system configuration issues, implements system fixes based on analysis, works closely with vendors, troubleshoots server configurations, system services, and interface jobs.
  • Adaptability: Demonstrates high adaptability to dynamic responsibilities and evolving project requirements, works off hours as needed and participates in on‑call rotation.
Position Qualifications
  • License/Certification/Education –

    Required:

    Bachelor's degree in Computer Science or related field, or equivalent work experience.
  • Certification: Epic/Workday/Application certification(s); ability to achieve additional certificates as required.
  • Lean Green Belt: Certification or ability to attain.
  • Preferred Certification: Project Management (PMP/CAPM).
  • Experience: 7 years experience with enterprise platforms (EHR, ITSM, ERP).
