Floating Assistant Community Manager – Greater Boston Area

Job Summary

This position supports and assists the Community Manager in overseeing and managing the community’s financial and operational operations. The role involves accounting, bookkeeping, financial reporting, rent collection, vendor management, and the use of property‑management software to record, track, and report all financial activities.

Responsibilities
  • Collect and post rent, fees, and other payments; prepare daily bank deposits; reconcile bank accounts; produce financial reports; process invoices and payables.
  • Operate property‑management software (Yardi/One Site) and maintain accurate transaction records, backups, and updates to ensure system integrity.
  • Review resident files and records to identify unpaid or late fees, communicate outstanding balances, implement delinquencies‑collection procedures, and enforce lease terms to maximize revenue.
  • Submit vendor, contractor, and service provider invoices for payment after reconciling work performed, obtaining Community Manager approval, coding charges to the appropriate Chart of Accounts, and coordinating communication with vendors and owners.
  • Follow company procedures for evictions, including notice requirements, resident removal, and representation in court hearings.
  • Process resident move‑outs by reviewing lease terms, applying deposit and cancellation fees as applicable, and handling dispositions in accordance with procedures and legal requirements.
  • Promote resident satisfaction and retention by addressing complaints, questions, and service requests promptly and effectively.
  • Act as on‑site supervisor in the absence of the Community Manager by organizing daily work, coordinating maintenance and make‑ready tasks, and ensuring compliance with company policies and business practices.
  • Assist with client/owner relationships, meeting owners, conducting community tours, providing performance updates, and responding to owner requests as needed.
  • Support leasing and marketing efforts by greeting prospective residents, collecting guest card information, showing ready apartments, closing leases, and assisting with rental applications and credit checks.
  • For California only: review all completed move‑in files before submission to the Community Manager for approval.
Qualifications
  • Bachelor’s degree in Business Management, Communications, or a related field from an accredited university.
  • 1–3 years of relevant experience in residence life and/or property management, demonstrating community‑management, sales, marketing, and customer‑service skills sufficient to manage day‑to‑day operations, resolve complaints, complete financial records, increase revenue, and coordinate a team.
  • Understanding of lease terms and enforcement, including collections.
  • Excellent written and verbal communication skills.
  • Detail‑oriented, self‑motivated, capable of independent work and teamwork.
Specialized Skills
  • All required licenses and/or certifications as required by state and local jurisdictions.
  • Valid driver’s license to operate a golf cart on property.
  • Proficiency in Internet, word processing, spreadsheets, and database management programs.
  • Strong proficiency in property‑management software (Yardi, One Site, Entrata, etc.).
Travel & Physical Demands
  • Routine local travel to complete deposits, attend training, or other job‑related tasks.
  • Rare or occasional travel for business meetings or training programs.
  • Physical ability to access all interior and exterior property areas, including the capability to lift, carry, push, and pull weights up to 20 pounds independently and up to 50 pounds with assistance.
Compensation & Benefits
  • Hourly rate: $36.00 – $39.00.
