The Real Estate Assistant supports daily operations and ensures the business functions smoothly. Key duties include handling administrative tasks, managing real estate software systems, creating reports, maintaining compliance, and providing exceptional customer service. The assistant plays a pivotal role in coordinating office operations and ensuring efficiency.

Key Functions & Responsibilities
  • Maintain and update MLS, Dot Loop, Broker Mint, Showing Time, and Auction Ohio systems.
  • Use Microsoft Office, Quick Books, Canva, and other tools for office operations.
  • Manage contracts, compliance tasks, and transaction expenses.
Customer Service
  • Serve as a point of contact for clients, vendors, sales agents, and auctioneers.
  • Provide instructions and support for office systems and tools.
Office Operations
  • Coordinate office administration tasks, organize filing systems, and maintain resources.
  • Purchase office supplies and oversee office equipment maintenance.
  • Handle basic bookkeeping tasks, including earnest money trust accounts, commissions, and expense tracking.
  • Perform other administrative duties as assigned to support the team.
Education/Experience
  • A real estate license is required.
  • 2+ years of experience in customer-focused roles with administrative responsibilities preferred, but not mandatory.
Technical Proficiency
  • Working knowledge of Quick Books, Microsoft Office, and other relevant software.
Soft Skills
  • Excellent verbal and written communication.
  • Strong customer service and interpersonal skills.
  • Creative problem-solving abilities.
Other Attributes
  • Ability to multitask and adapt to changing business needs.
  • Effective organizational skills and attention to detail.
  • Capability to address and resolve issues proactively.
