Office Coordinator
Location:
Wrentham, MA Full-Time | Monday-Friday, 8:00-4:30 | In-Person Colonial Fence Co. is seeking a highly organized, motivated, and dependable Office Coordinator to become an integral part of our growing team. This role is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, and takes pride in keeping an office running efficiently. As the first point of contact for many of our customers, you'll play a key role in delivering exceptional customer service while supporting our sales and operations teams through scheduling, invoicing, and daily administrative functions.
Responsibilities:
- Answer incoming phone calls and assist customers professionally and courteously
- Schedule appointments, estimates, and installation dates
- Create and process customer invoices and maintain accurate records
- Coordinate daily office operations and support project scheduling
- Communicate with customers regarding appointments, payments, and project updates
- Maintain organized digital and physical filing systems
- Assist with general administrative tasks and office support
- Collaborate with the sales and production teams to ensure projects move smoothly from start to finish
- Identify and resolve issues proactively while maintaining a high level of organization
- Perform other administrative duties as needed
- Track KPI's and create specialized reports
- Highly organized with exceptional attention to detail
- Professional, friendly, and confident communicating with customers
- A strong multitasker who can prioritize effectively
- A proactive problem-solver who works independently
- Comfortable learning new software and technology
- Reliable, punctual, and team-oriented
- Able to remain calm and organized in a fast-paced environment
- Committed to providing outstanding customer service
- Previous office administration or customer service experience
- Experience with scheduling, invoicing, or accounts receivable
- Strong computer skills, including Microsoft Office and Google Workspace
- Experience in the construction, home services, or manufacturing industry is a plus, but not required
