Seeking Project Assistant to join ETC's team in Middleton.

ETC is looking for a tech-savvy communicator with excellent customer service skills to support our Project Management team in this essential entry-level role. As a key connection point for our customers and internal teams, you’ll help keep projects moving by managing workflows, maintaining accurate documentation, and ensuring smooth, timely communication across departments.

Representative Responsibilities
  • Jira Workflow Management
  • Create, manage, and maintain Jira tickets and PA-specific subtasks.
  • Route, assign, and reassign work within Jira.
  • Support Advanced Replacement workflows.
  • Collaborate across departments through Jira to ensure effective coordination.
  • Maintain accurate ticket flow and data quality.
  • ERP / SAP Administration
  • Prepare and process sales order changes accurately.
  • Reconciles project drawings with SAP sales orders.
  • Initiate and verify Sales Order Changes when necessary.
  • Update and verify in SAP
  • Print acknowledgements and manage required documentation.
  • Run reports and modify project schedules in SAP at Project Manager request
  • Prepare and verify pick lists for the Shipping Department
  • Customer Communication & Support
  • Serve as a primary customer contact for project-related information.
  • Provide shipping and release status updates using system data.
  • Make timely and accurate order adjustments.
  • Confirm startup schedules, dates, and logistics with customers.
  • Track shipments, retrieve proof of delivery, and follow up promptly.
  • Coordinate call tags, address changes, and shipping-related requests.
  • Contact shipping carriers for proof of delivery when needed.
  • Relay unresolved customer questions or concerns to the Project Manager.
  • Credit, Debit, and Return Processing
  • Coordinate credit, debit, and return/notification order requests.
  • Provide return numbers to customers.
  • Process return orders in SAP as required
  • Update credit/debit information in databases
  • Prepares approval paperwork and route to appropriate stakeholders.
  • Create Quality Alerts/Notifications as necessary
  • Release Process Support
  • Process release documentation promptly and accurately.
  • Notify Manufacturing of product releases.
  • Notify Data Entry of BOMs requiring completion.
  • Documentation & Administrative Support
  • Maintains organized department files
  • Ensures approval drawings are copied and shipped as required.
  • Prepares and ship operational manuals.
  • Provides backup to Data Entry as needed
  • Attends customer functions as directed by Management
  • Other duties as assigned
  • Special projects and requests are completed in a timely and positive fashion
Minimum Qualifications
  • High school diploma or its equivalent (GED)
  • 1-3 years customer service or administrative experience
  • Familiarity with ETC’s products is beneficial, but not required
  • Knowledge of various databases, clerical procedures, and time management techniques
  • Good communication, organizational, and interpersonal skills
  • Strong data entry and computer skills
  • Accurate typing skills
  • Able to work well under pressure, prioritize, and multi-task
  • Ability to deal with changing priorities
Key Proficiencies
  • Proficiency with Jira or similar workflow/ticketing systems.
  • Working knowledge of ERP platforms, preferably SAP.
  • Strong attention to detail with high-accuracy data entry skills.
  • Clear, professional communication with strong customer service focus.
  • Effective organizational and time-management abilities.
  • Ability to research and resolve order, shipping, or credit-related issues.
  • Collaborative, positive team contributor able to support multiple departments
