Location: Mills
The HR & Office Administrator / Accounts Receivable role supports the daily operations of the office by performing a wide range of human resources, front desk, office administration, and full-cycle accounts receivable functions. This position serves as the first point of contact for employees, visitors, and callers while managing HR onboarding and employee records, overseeing the accounts receivable process, and ensuring smooth administrative operations.
The role works closely with HR, accounting, and leadership to support employees, customers, and overall business operations.
- Perform administrative tasks related to onboarding, including entering and maintaining data in HR information systems.
- Respond to or route HR-related inquiries and correspondence to appropriate team members.
- Coordinate and process candidate background checks, drug screens, and motor vehicle reports.
- Conduct exit interviews for Traffic Control Technician Tier 3 and Tier 4 employees.
- Support recruitment and talent acquisition efforts as needed.
- Complete I-9 verification and E-Verify processing for new hires.
- Maintain employee personnel files and records in electronic and paper formats.
- Coordinate with cross-functional departments to support employee engagement initiatives.
- Respond to employment verification requests and separation notice inquiries.
- Serve as the primary front desk contact by greeting visitors, employees, vendors, and clients in a professional and welcoming manner.
- Answer and route incoming phone calls and general inquiries.
- Manage incoming and outgoing mail, deliveries, and office communications.
- Maintain front desk and common areas to ensure a professional office environment.
- Provide general administrative support, scheduling, and coordination as needed.
- Manage the full accounts receivable cycle, including invoicing, payment processing, and account reconciliation.
- Prepare, issue, and track customer invoices in accordance with company policies and contract terms.
- Receive, post, and apply customer payments accurately and timely.
- Monitor accounts for past-due balances and follow up with customers regarding outstanding invoices.
- Respond to customer billing inquiries and resolve discrepancies.
- Maintain accurate AR records and documentation.
- Coordinate with accounting and management on aging reports, collections, and account status.
- Perform other duties as assigned.
- High school diploma or equivalent GED required; two- or four-year college degree preferred.
- Minimum of two (2) years of experience in human resources, office administration, and/or accounts receivable.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Working knowledge of full-cycle accounts receivable processes.
- Strong customer service skills with the ability to interact professionally with employees, visitors, vendors, and customers.
- Strong organizational skills with the ability to manage multiple priorities.
- Demonstrated ability to handle sensitive and confidential information.
- Prolonged periods of sitting at a desk and working on a computer.
- Occasional standing, walking, and interaction at the front desk.
- General office environment in a well-lit, climate-controlled office with moderate noise levels.
- Hourly pay range: $60,000 – $70,000, depending on experience and qualifications.
