Superintendent/Board Administrative Assistant

SUMMARY

The Superintendent’s Administrative Assistant assists with and relieves the superintendent of paperwork so that he/she may devote maximum attention to the central problems of education and educational administration; to contribute to a positive school atmosphere by offering pleasant, accommodating services from the central office to parents, students, staff, and community patrons and provides clerical, secretarial and administrative assistance to central office leadership.

REPORTING RELATIONSHIPS

This job will report directly to the Superintendent of Schools.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Conducts a strong central office public relations program to include courteous telephone procedure, service-oriented public contact, and pride in document production.
  • Performs general secretarial duties for the Superintendent and Board of Trustees.
  • Works cooperatively with the chairperson and clerk of the Board in the performance of their duties as Board officers.
  • Maintains the Superintendent’s calendar.
  • Attends Board meetings, records minutes of the proceedings, and prepares information for dissemination to school personnel.
  • Inputs and posts agenda for the upcoming Board meeting and prepares minutes of previous meeting for approval by the Board.
  • Assists in the maintenance and periodic updating of District records including Board Policy and Administrative Regulations and Operational Procedures.
  • Demonstrates a working knowledge of District policies and procedures, follows and acts as an advisor to others to ensure all policies and procedures are adhered to.
  • Prepares legal notices for newspaper publication and distribution to media as required.
  • Maintains a variety of manual and electronic files and/or records (e.g., employee handbooks, policies, and procedures, agreements, discipline reports, etc.) for the purpose of providing up-to-date reference and audit trail for compliance with District, local, state, and federal regulations. Interfaces with HR/Payroll to ascertain guidelines are adhered to in non-discriminatory methods.
  • Assists with the promotion of effective school/community relations by keeping school personnel and the public well-informed about proceedings of the Board of Trustees.
  • Prepares, copies, and distributes notices, memoranda, or other correspondence for the purpose of informing school employees, students, parents, and others regarding activities, events or other work-related matters.
  • Maintains a regular filing system and processes correspondence as instructed.
  • Compiles data for and types the various forms and reports required by the State Department of Education and Federal agencies as directed by the Superintendent.
  • Maintains schedules of appointments, use of the Board/conference rooms, gymnasium and Board activities and makes arrangements for conferences and interviews as requested.
  • Composes documents (e.g., correspondence, bulletins, reports) for Central Office for the purpose of requesting or providing information, confirming events, etc.
  • Assists with welcoming visitors, determining their needs, and directing them to the appropriate office or staff member.
  • Orders and maintains office supplies as needed.
  • Assists with business office functions as directed to ensure separation of duties in the small office.
