Job Description

The Guest Services Administrative Assistant plays a key role in creating a welcoming and seamless experience for all guests. This position reports directly to the General Manager.

Educational background
  • College degree preferred, geared towards hospitality.
  • High school diploma or equivalent; hospitality or business coursework preferred.
  • 3-5 years of experience in hospitality, front desk, or guest services.
  • Any combination of the above.
Job Requirements
  • Greet and assist guests with warmth, professionalism, and attention to detail.
  • Answer phones and emails promptly while providing accurate information about services, amenities, and local attractions.
  • Assist with guest reservations, scheduling, and confirmations.
  • Support the General Manager with administrative tasks such as recordkeeping, reporting, and filing.
  • Maintain a clean, organized, and inviting reception or lobby area.
  • Coordinate guest requests with other departments to ensure timely service.
  • Handle guest concerns with professionalism, empathy, and problem‑solving skills.
  • Assist in planning and supporting special events, group bookings, and VIP services.
  • Track office and guest service supplies and place orders as needed.
  • Uphold the highest standards of hospitality, confidentiality, and guest satisfaction.
  • Strong communication and interpersonal skills with a guest‑first mindset.
  • Proficiency with reservation systems and scheduling software (training provided if needed).
  • Ability to multitask in a fast‑paced environment while maintaining attention to detail.
  • Professional appearance and demeanor.
  • Flexibility to work evenings, weekends, and holidays as required.
  • Must attend all resort events to network and support the management team; absence requires GM approval.
  • Hourly/Salary based on level of experience.
  • Housing assistance may be available per occupancy.
