Job Summary

The Quality Assurance Specialist ensures the accuracy, completeness, and compliance of electronic child files and data in the agency’s software system. This position supports the preparation of local, state, and federal reports by conducting regular file reviews and data audits. Collaboration with fellow Quality Assurance Specialists and program managers is essential to maintain consistent data standards and practices. The Specialist also assists with staff training and provides technical support to ensure correct documentation and software use.

Coordination with the Systems Administrator is required to manage user setup and access. Strong attention to detail, teamwork, and communication are critical to success in this role. The position must be based at a WCFD site for the entire orientation period, with potential for hybrid work thereafter.

Duties/Responsibilities

All duties will comply with all rules, regulations, and practices of the agency and its regulating authorities. WCFD standards, DFS licensing, NAEYC guidelines, Wyoming Division of Disabilities regulations, and WCFD policies. All employees will adhere to the mission, vision, values, policies, and procedures of WCFD.

Monitor and track all sections of the electronic child files within the agency’s data management system to ensure accuracy and completeness.

Conduct regular reviews of child file data entry to verify timeliness, compliance, and alignment with program requirements.

Mentor and support new Head Start/Early Head Start staff responsible for child file data entry, ensuring they understand documentation standards and system procedures.

Coordinate and deliver training related to electronic child files and data entry protocols, tailoring content to accommodate different learning styles and providing individualized follow-up as needed.

Provide ongoing guidance and technical assistance to staff regarding documentation requirements, including service coordination and recordkeeping.

Ensure that accurate and complete child records are maintained and generate routine reports to monitor and validate staff data entry performance.

Assist in compiling, verifying, and preparing data for submission in local, state, and federal reports.

Participate in team meetings to provide input on program evaluation, child progress, and quality improvement efforts.

Maintain clear and effective communication with supervisors, staff, and families to support data accuracy and program success.

Recruit children for the program in accordance with guidelines from the Department of Health and Human Services and WCFD.

Assist with ongoing generation of in-kind through family and community partnerships.

Maintain confidentiality of all program-related information.

Respond appropriately to suspected child abuse in accordance with WCFD policies.

Provide emergency care as needed.

Participates in child and family outreach and recruitment efforts

Ensure ability to perform job functions safely, with or without reasonable accommodations

Perform additional tasks assigned by the Board or its designee

Adhere to all policies, guidelines, and operational procedures set forth by Wyoming Child and Family Development, Inc.
