The pharmacy associate performs non-judgmental pharmacy tasks including clerical (e.g. typing and filing), secretarial, courier, charging, record maintenance, office support, telephone triage and other duties to support the Pharmacy Department.
Requirements Education, Training, and Experience- Maintains a clean and safe working environment. Generates professional looking correspondence. Generates accurate and timely minutes for assigned meetings.
- Communicates to supervisor real or potential problems in a timely manner (e.g. personnel problems, workflow, safety concerns, potential adverse events).
- Greets visitors and vendors and directs them to the appropriate personnel.
- Directs telephone calls to the appropriate personnel.
- Uses good judgment and tact with sensitive and confidential issues.
- Files papers, records, and reports to the appropriate locations in a timely manner.
- Maintains related records and logs in an organized manner.
- Arranges meeting set-up, orders rooms, meals, A/V equipment, distributes minutes and notices, etc.
- Generates reports as needed.
- Disseminates general pharmacy department incoming mail to the appropriate pharmacy staff member’s mailbox in a timely fashion.
- Responds and resolves telephone calls and voice mail messages, refers calls to necessary departments when appropriate.
- Processes and tracks invoices, check requests, and purchase orders for office related items, and items not otherwise managed by other pharmacy personnel.
- Maintains files and security of administrative records and confidential information.
- Maintains and orders when appropriate the necessary office supplies needed to keep the office running efficiently. Routes and identifies necessary items that need supervisory approval prior to purchase.
- Automatically files minutes, financial reports, and items as they arrive in the appropriate file locations.
- Completes requested ad-hoc projects accurately and in a timely fashion.
- Gathers and prepares data and completes reports and surveys.
- Flexible and adaptive skills to handle other projects, and tasks as assigned in a professional and reliable fashion.
- Participates, and completes as assigned any periodic quality tasks such as inspections, or other tasks as required.
- Records temperature information for medication refrigerators and freezers as necessary.
- Demonstrates computers skills utilizing word processing, spreadsheet, email, and other software tools as necessary.
- Demonstrates effective verbal and written communication skills in maintaining extensive contact with Hospital personnel, other business contacts, community leaders, customers, and medical staff, including physicians.
- Displays a professional demeanor at all times. Capable of handling stress and difficult situations; displays maturity, tact, and confidentiality.
- Judgment ability to evaluate circumstances and make appropriate decisions.
- Adaptability to adjust to changing conditions and priorities. Ability to handle stressful situations.
- Planning and organization skills necessary to establish a plan for future needs and a process to achieve goals and meet deadlines.
- Reliability and punctual for work and meetings. Conscientious in completing assignments.
