The Administrative Assistant to the Principal is a vital member of the school’s administrative and support team. This position plays a key role in ensuring the efficient day‑to‑day operations of the school office while providing essential support to the Principal, staff, students, and families.

Key Responsibilities
  • Answer and direct office telephone calls or messages.
  • Greet parents, visitors, and students at the office.
  • Monitor student attendance and inform principals of parents needing follow‑up.
  • Monitor daily attendance for all staff, track substitute arrivals, and notify the principal of any issues.
  • Maintain and update CA 60's, including immunization reporting.
  • Assist in dispensing of medication (oral medication, testing blood for diabetes in children, use of Epi‑pens, and other health‑related requirements) and first aid.
  • Aid in the documentation and reporting of Communicable Diseases to the Kent County Health Department.
  • Keep the principal informed of building issues.
  • Type correspondence.
  • Maintain confidentiality of classified information.
  • Prepare materials for parent–teacher conferences.
  • Report to work / maintain good attendance.
  • Collect all pertinent record‑keeping items (student attendance materials, record books, etc.).
  • Prepare various reports.
  • Prepare newsletters / daily announcements.
  • Assist with all building events.
  • Perform allied or related duties as assigned by the principal.
Knowledge, Skills, and Abilities
  • Knowledge of general office practices and procedures.
  • Knowledge of written communication formats, business English, and composition.
  • Extensive knowledge of Microsoft Office and Google Suite.
  • Skill in operating and maintaining personal computers.
  • Skill in troubleshooting computer problems.
  • Skill in operating office equipment such as a calculator, copy/fax/scan machine, telephone system, etc.
  • Ability to maintain confidentiality of classified information.
  • Ability to communicate with employees, students, and parents in a courteous and professional manner.
  • Ability to share office responsibilities.
  • Willingness to attend training to update skills.
Education and Experience / Qualifications
  • Associate's Degree Preferred
  • High School Graduate (Minimum)
  • Successful reference, employment, and background checks.
  • Ability and flexibility to deal well with students, staff, parents, and the public.
Physical Demands

While performing the duties of this job, the employee is required to stand, walk, sit, use hands to finger, handle, or feel, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl, talk, and hear (in a quiet or noisy environment). The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required for this job include close vision, distance vision, and the ability to adjust focus.

Environment

The noise level in the work environment is usually loud to moderate. Work is performed indoors, with occasional outdoor activities required. The employee is directly responsible for the safety, well-being, and work output of students.

Cognitive Functions

While performing the duties of this job, the employee is required to compare, analyze, communicate orally and in writing in English, copy, coordinate, instruct, compute, synthesize, evaluate, use interpersonal skills, and compile and negotiate.
