Position: Volunteer Programs Coordinator (Daytime, 24 hrs/wk)

Volunteer Services Assistant - Volunteer Service (Days 8 AM - 4:30 PM, 24 hrs/week)

Shift: Days

General Purpose of Job

Under limited direction, the Volunteer Services Assistant will assist with the day-to-day operations of the Volunteer Services department.

Education
  • Associate degree in business, communications or related field or an equivalent level education and experience. OR a High School Diploma/GED and a minimum of 2-3 years of related experience
License / Certification / Registration
  • None
Experience
  • Office experience with a focus in project coordination, data collection and/or event facilitation preferred.
Skills & Abilities
  • Strong project management skills with attention to detail and accuracy are essential.
  • Demonstrated written, verbal and interpersonal communication skills.
  • Takes initiative to complete work under limited supervision in a small office environment.
  • Works effectively and efficiently under tight deadlines, high volumes while managing multiple projects
  • Demonstrated ability to work effectively as a team member.
  • Ability to read, analyze and interpret the most complex documents.
  • Ability to respond effectively to the sensitive inquiries or complaints.
  • Comfortable and competent in making presentations to groups.
  • Handles information of highly sensitive and confidential nature.
Essential Duties
  • Collaborates with Marketing, providing key event details, pictures and other visuals for social media as needed.
  • Address community inquiries and questions via Email and Phone
  • Maintain the volunteer personnel files (hard copies and computer programs)
  • Develop and maintain Volunteer Services database to track demographics, service hours, immunizations, mandatories, etc...
  • Assist with intake of new volunteers and students
  • Perform a variety of clerical tasks involving reports, forms, documents, newsletters and correspondence.
  • Help coordinate special projects.
  • Assist with the placement of job shadows.
  • Assist with Gift Shop and Guest Services on an as needed basis to ensure smooth operations.
  • Attend department meetings with the Gift Shop and Guest Services’ teams.
  • Performs other duties as assigned. These may include but are not limited to:
    Maintaining a current knowledge base of department processes, protocols and procedures, pursuing self-directed learning and continuing education opportunities, and participating on committees, task forces, and work groups as determined by management.
