Supports the growth of the Regional Medical Group by providing administrative duties in support of the Regional Director, Physician and APP Recruitment, Physician Recruiters, Physician Recruitment Coordinators and other leadership staff of the Regional Medical Group.
Knowledge, Skills and Experience Education- High school diploma and a minimum of 4 years of secretarial experience or Associate degree in office administration or other related field and a minimum of 2 years secretarial experience.

- Experience in Healthcare and/or recruitment, preferred
- Experience with Sharepoint, ATS, job posting websites, preferred.
- Knowledge of the medical community and familiarity with marketing/public relations techniques
- Demonstrated excellent interpersonal skills, including the ability to communicate clearly and professionally, both verbally and in writing.
- Self-motivated, ability to work independently with a minimum of supervision, set priorities and follow-through to accomplish results.
- Ability to multi-task, planning and prioritizing a large volume of work in accordance with changing deadlines
- Willingness to call and meet individuals in the early morning, evenings, and weekends as needed to enhance recruitment; willingness to travel as required to attend recruiting job fairs
- Must maintain a high degree of confidentiality
- Working knowledge of computers and software including Microsoft Word, PowerPoint and Excel
- Excellent typing skills, proficient in the use of word processing software and Internet skills
- Basic spreadsheet, calculator and personal computer knowledge
- Demonstrates strong interpersonal skills; ability to interact efficiently with administrators, physicians, other office personnel, community leaders and others
- Excellent oral and written communication skills
- Ability to work without close supervision
- Ability to prioritize duties and manage time
This job description is intended to cover the minimum essential duties assigned on a regular basis. Team members may be asked to perform additional duties as assigned by their leader. Leadership has the right to alter or modify the duties of the position.
- Generates correspondence using word processing software and/or the Health System provided e‑mail system. Completes forms for various activities as assigned and does follow‑up.
- Coordinates candidate site visits, itineraries that include scheduling interviews, booking flights and accommodations as needed and forwarding site visit materials to all appropriate individuals.
- Completes packages of materials that support the Physician and APP Recruitment Department. This includes new hire and potential hire marketing packets.
- Orders supplies for the department.
- Assists with the scheduling, planning and the coordination of the job fairs and other events that the Provider Recruitment Department participates in. This includes annual Sparrow Medical Group Resident Recruitment Dinner.
- Coordinates relocation for new providers recruited.
- Maintains reports on department statistical information including number of site visits, expenses, etc.
- Processes reimbursement for Provider Recruitment Department including reimbursement of providers for various expenses. Maintains department credit card charges and processes monthly department monthly credit card report.
- Maintains confidentiality of all department information, including but not limited to provider salary and incentive information, patient information, provider candidates, etc.
- Implements and organizes all departmental files including but not limited to new hire files.
- Other duties as assigned in support of the Regional Medical Group Leadership Team.
- Serves as main timekeeper for department.
- Schedule departmental meetings.
- Maintains Regional Director Physician and APP’s calendar and schedules meetings.
- Collects & maintains an up-to-date assembly of promotional materials for the Regional Medical Group, Health System & greater Grand Rapids and Landing.
- Willing to travel to all UMH locations as needed.
- Schedules photo sessions and retrieve photos.
- Designs & orders formal announcements, obtains mailing labels from hospitals.
- Sets up and takes down interview rooms with food, resumes, candidate gift, etc.
- Sends and maintains candidate evaluation forms to interview panel.
- Assists recruiters with obtaining pre‑screening documents including references on candidates.
