Retail Sales-Group Coordinator

Since 1952, we've been creating memorable experiences for families through our Fall Festival, Pumpkin Patch, attractions, food, live entertainment, and special events. Each fall, our team welcomes thousands of guests and works together to provide a fun, safe, and unforgettable experience for visitors of all ages.

Do you love staying organized, helping people, and making events run smoothly? Pinehaven Farm is looking for a friendly, dependable Group Coordinator to help create an outstanding experience for our school field trips, private bonfire reservations, birthday parties, and group events throughout the fall season.

As a Group Coordinator, you'll be one of the first people our groups meet when they arrive. You'll help ensure every reservation is organized, guests know where to go, and each visit starts off on the right foot.

School Field Trips

• Manage daily field trip schedules using our reservation software.
• Prepare schedules and materials for each school group.
• Welcome teachers and group leaders at check-in.
• Distribute maps, schedules, wristbands, and other materials.
• Answer questions and help groups get started on their visit.
• Communicate with staff to help the day run smoothly.

Private Bonfire Reservations & Group Events

• Greet groups after they check in.
• Escort guests to their reserved bonfire site.
• Deliver reservation add-ons such as s'mores kits and other extras.
• Check in with groups throughout their reservation to ensure they're having a great experience.
• Clean and prepare bonfire sites for the next reservation.

• Friendly, outgoing, and enjoys working with people.
• Organized and able to manage multiple tasks at once.
• Comfortable learning new computer software and reservation systems.
• A strong communicator with excellent customer service skills.
• Dependable, proactive, and able to work independently.
• Willing to work outdoors in a variety of fall weather conditions.
• Able to walk throughout the farm and lift up to 30 pounds when needed.

This position offers a flexible combination of weekday and weekend hours depending on your availability.

Weekday shifts primarily support school field trips during the fall, while evenings and weekends focus on private bonfire reservations, birthday parties, and group events. Applicants may work one or both areas based on availability.
