Position: Office Support Specialist I 2026-00525

General Description

Under the guidance of a supervisor, this position provides comprehensive administrative and program support to ensure efficient division operations and responsive customer service. The role assists with preparing and managing incoming and outgoing correspondence and performs a wide range of moderate to complex operational duties.

Responsibilities
  • Scanning and indexing documents.
  • Supporting child support processes.
  • Processing faxes and managing all Unemployment Insurance (UI) Benefits mail.
  • Processing incoming continued claims, setting applicable issues, coding and updating returned mail.
  • Maintaining accurate records.
  • Responding verbally and in writing to requests for information.
  • Assisting claimants and other external customers.
  • Providing claimant verifications, drafting memos, mailing checks, and retrieving patch sheets from scanned documents.
  • Fielding any other outside customers as needed.
  • Delivering professional service to internal and external stakeholders while managing multiple priorities.

Essential Functions
  • Work with the supervisor on correspondence in and out of the division.
  • Perform or lead a wide variety of moderate to complex program and operational support duties, including scanning/indexing, child support, and processing faxes.
  • Respond verbally and/or in writing to requests for information.
  • Field any other outside customers as needed.
  • Provide administrative duties for internal and external customers, including claimant verifications, memos, check mailing, and pulling patch sheets from scanned documents.
  • Process all UI Benefits mail.
  • Process incoming continued claims and set applicable issues.
  • Process and code returned mail.
Qualifications

Preferences: Preference may be given to those with experience in customer service, phone and email correspondence, Microsoft Excel and Microsoft Word.

Knowledge
  • Knowledge of techniques for providing a high level of customer service.
  • Ability to be a team player.
  • Ability to multitask and prioritize.
Education

Associate's Degree (typically in Business)

Experience

0–1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II, or 2–4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II.
