General Description
The Wyoming Department of Agriculture is seeking an Office Support Specialist II for its Consumer Health Services Division. The position administers the food, pool, and spa licensing database, processes licenses and renewals, handles accounting procedures and fee distributions, coordinates meat program data, collects monthly slaughter and processing data from field inspectors, generates monthly and quarterly reports for local and federal agencies, enters weekly activity reports into a database, generates quarterly reports, maintains sick and annual leave records, coordinates staff inventory, sorts mail for management staff, performs other administrative functions, designs and produces brochures and a semi-annual newsletter, sets logistics for staff meetings, workshops, and task force meetings, receives and disseminates calls from the public, writes letters to delinquent licensees, and works closely with local health departments on licensing issues and public calls.
Responsibilities- Administrator of the inspection program database.
- Maintain databases for licensing and required reports.
- Perform executive-level administrative and support duties.
- Plan meetings.
- Ensure program integrity assurance.
- Provide review and evaluation to ensure compliance issues are appropriately evaluated, investigated, and resolved.
- Create and edit reports and documents for management.
- Manage schedules and timelines for the manager.
- Oversee all office equipment and supplies.
- Process, maintain, and undertake quality control of records and documents.
- Perform program and/or fiscal duties.
- Coordinate program functions between a variety of sources.
- Comply with vital information.
- Act as a resource to provide information or interpretation of agency rules and regulations to staff, the public, or other government entities, and/or determine the most effective way of meeting the needs of management, staff, clients, or customers.
- Associate's Degree (typically in Business).
- 0-2 years progressive work experience (typically in Business Office Communications) with knowledge at the level of an Office Support Specialist I, OR 2-4 years progressive work experience at that level.
- Knowledge of applicable computer applications.
- Knowledge of records processing and maintenance procedures and systems.
- Knowledge in the preparation of complicated documents.
- Knowledge and understanding of the agency, and each respective division/program.
- Knowledge of investigating alleged non-compliance.
- Knowledge of project management.
