Overview

The Fiduciary Accounting and Reporting Analyst supports Tompkins Financial Advisors by administering fiduciary tax reporting, required minimum distribution processes, and withholding compliance. This role ensures accuracy, regulatory adherence, and consistency across fiduciary accounting and reporting activities, while supporting complex trust and estate accountings. The position requires strong analytical capabilities, attention to detail, and the ability to manage multiple priorities to meet critical deadlines, while providing subject matter expertise to internal stakeholders.

Responsibilities
  • Fiduciary Tax Reporting and Compliance Excellence – Ensure accurate and timely preparation of fiduciary tax reporting, including informational returns and withholding reconciliation, in compliance with IRS and state regulations.
  • Retirement Distribution Oversight – Lead and manage required minimum distribution processes to ensure regulatory compliance, operational efficiency, and risk mitigation.
  • Fiduciary Accounting and Trust Support – Support the preparation and maintenance of complex fiduciary accountings, including estates, trusts, and charitable reporting requirements.
  • Data Integrity and Operational Accuracy – Drive consistency, accuracy, and reliability of financial data, transactions, and reporting processes that impact client outcomes and fiduciary records.
  • Stakeholder Support and Client Experience Enhancement – Serve as a subject matter resource to internal partners and contribute to a high-quality client experience through responsive research, communication, and issue resolution.
  • Fiduciary Tax Reporting and Regulatory Compliance
    • Prepare and file informational tax reports (e.g., 1099, 5498, 1098 series)
    • Manage federal and state withholding review and reconciliation
    • Lead required minimum distribution processes in accordance with IRS regulations
  • Fiduciary Accounting and Trust Administration Support
    • Support preparation of complex estate and trust accountings, including supplemental needs trusts
    • Maintain fiduciary accounting bridge and data retention processes
    • Prepare asset valuations and basis adjustments
  • Regulatory and External Reporting
    • Lead preparation of annual NYS Attorney General Charitable Reports
    • Ensure compliance with applicable fiduciary, tax, and reporting regulations
  • Data Integrity and Operational Effectiveness
    • Drive consistency and accuracy of transactions impacting fiduciary and tax reporting
    • Support process improvements and maintain accurate financial records
  • Internal Partnership and Operational Support
    • Act as a resource for internal inquiries related to tax reporting and fiduciary matters
    • Conduct research to support client needs and issue resolution
    • Support vendor setup and accounts payable activities as needed
Qualifications
  • Bachelor’s degree in Accounting, Finance, or a related field preferred
  • Minimum of 5 years of experience in fiduciary accounting, tax services, or a professional services environment required
  • Proficiency in Microsoft Office applications, particularly Excel and Word; experience with trust accounting and tax preparation systems (e.g., ONESOURCE™) preferred
  • Demonstrated knowledge of fiduciary accounting, trust operations, and tax reporting requirements
  • Working knowledge of IRAs, retirement plans, and related distribution requirements
  • Strong analytical, organizational, and time management skills with the ability to prioritize and meet deadlines
  • Effective communication and collaboration skills with the ability to work independently and cross-functionally
