Responsibilities- Coordinate administrative and operational support for assigned departments, programs, supervisors, and teams, including calendars, meetings, professional development logistics, travel arrangements, communications, office systems, room reservations, and event logistics.
- Prepare, edit, format, distribute, and maintain documents, agendas, minutes, forms, reports, correspondence, spreadsheets, presentation materials, and other department materials.
- Serve as a communication liaison with ESD staff, school districts, community partners, vendors, and the public by responding to inquiries, coordinating communications, and ensuring timely follow‑up.
- Maintain accurate electronic and paper records, databases, files, and documentation in accordance with agency procedures records retention requirements, and confidentiality standards.
- Support fiscal operations by processing purchase orders, invoices, reimbursements, travel forms, travel expense vouchers, contracts, registrations, deposits, budget tracking documents, and related fiscal records.
- Monitor deadlines, track assignments, collect information, and assist with reporting requirements to support efficient program operations and accountability. Coordinate meetings, trainings, and events by managing logistics, facilities, technology, materials, registrations, and documentation.
- Provide customer service, reception, and office support functions, including telephone coverage, mail distribution, inventory management, supply ordering, and maintenance of administrative systems.
- Support multiple supervisors or teams simultaneously by organizing priorities, maintaining calendars and records, coordinating communications, and assisting with administrative follow‑through.
- Maintain confidentiality of department, staff, fiscal, and program information in accordance with applicable agency procedures.
- Office administration practices, records management, business correspondence, and customer service principles.
- Confidentiality requirements, records retention procedures, and applicable federal, state, and agency regulations.
- Basic fiscal, purchasing, travel, and budget tracking processes.
- Educational program operations, organizational procedures, and administrative support practices.
- Meeting coordination, event logistics, and office systems.
- Organizing and prioritizing multiple assignments while maintaining accuracy and attention to detail.
- Preparing, editing, and maintaining correspondence, reports, spreadsheets, presentations, and other business documents.
- Providing professional customer service and communicating effectively with staff, districts, students, families, community partners, and the public.
- Using Microsoft Office Suite, database systems, virtual meeting platforms, and data management tools.
- Maintaining accurate records, tracking information, and supporting administrative and operational processes.
- Managing multiple deadlines, interruptions, and competing priorities in a fast‑paced environment.
- Maintaining confidentiality and exercising sound judgment when handling sensitive information.
- Coordinating processes, monitoring timelines, and supporting operational needs across multiple programs and departments.
- Working independently while also collaborating effectively with supervisors, teams, and external partners.
- Analyzing information, solving routine problems, and following through on assignments with minimal supervision.
- Learning and applying new procedures, technologies, and agency systems.
- Establishing and maintaining positive working relationships with diverse individuals and groups.
