Position Highlights- $18.47-$22.62 per hour DOE, with the possibility for higher pay for highly experienced candidates
- Receive requests for medical and dental records from patients, providers, insurers, and legal entities.
- Review requests to verify validity and ensure they contain required information.
- Ensure indexing and release of medical information complies with HIPAA and YVFWC policies.
- Retrieve and process requested records from EPIC e‑Medical and e‑Dental systems, paper charts from Iron Mountain, and imaging systems; track delivery of records and documents in patient accounts.
- Review incoming digital scans or faxes, index documents by assigning keywords using OnBase and EPIC systems.
- Ensure scanned documentation is error‑free and accurately indexed; route documents via Right Fax for provider signature.
- Maintain security and confidentiality of sensitive documents during indexing, processing, and releasing.
- Assist staff, clinics, or requesters with questions regarding scanned documents, record requests, and compliance expectations.
- Collaborate with IS, Compliance, and front/back office clinical departments to facilitate document sharing and troubleshoot issues.
- Answer incoming calls and process incoming mail.
- Conduct investigations and monitoring as requested.
- Perform other duties as assigned.
- High School Diploma or GED.
- Coursework in medical terminology, health records, HIPAA, and compliance preferred.
- At least one year of healthcare compliance and/or medical records experience preferred.
- Bilingual (English/Spanish) at level 9 preferred.
- Knowledge of medical terminology, records practices, investigations, and HIPAA, Oregon and Washington privacy laws.
- Strong analytical, decision‑making, and problem‑solving skills.
- Knowledge of clinical workflows, Document Management Systems, and EPIC e‑Medical and e‑Dental systems.
- Effective verbal, written, and listening communication skills.
- Strong customer‑relations skills, including managing stressful situations, attention to detail, and accuracy.
- Ability to prioritize work and handle multiple tasks in a fast‑paced environment.
- Ability to exercise independent judgment, handle confidential information with discretion, and develop effective working relationships with staff.
- Basic proficiency in Microsoft Outlook, Word, Excel, First Source, and the EHR.
