The Receptionist / Front Desk Representative serves as the first point of contact for residents, families, visitors, and staff. This position is responsible for providing a professional, welcoming environment while managing incoming calls, greeting guests, and supporting administrative operations within the facility.
Key Responsibilities- Greet residents, visitors, vendors, and staff in a courteous and professional manner.
- Answer and direct incoming phone calls promptly and accurately.
- Maintain the front desk area in an organized and professional condition.
- Manage visitor sign‑in procedures and ensure facility security protocols are followed.
- Provide general information regarding the facility, departments, and visiting hours.
- Receive, sort, and distribute incoming mail and packages.
- Assist administrative staff with clerical duties such as filing, copying, scanning, and data entry.
- Coordinate communication between departments when necessary.
- Monitor lobby activity and report any concerns to appropriate staff.
- Support scheduling of meetings or appointments as requested by administration.
- Maintain confidentiality of resident and facility information in accordance with HIPAA regulations.
- High school diploma or equivalent required.
- Previous receptionist or customer service experience preferred, ideally in a healthcare or long‑term care setting, required.
- Excellent verbal and written communication skills.
- Professional demeanor and strong interpersonal skills.
- Ability to multitask and manage a high‑volume front desk environment.
- Proficiency in basic computer systems (Microsoft Office, email, and phone systems).
- Strong organizational skills and attention to detail.
- Fast‑paced healthcare setting.
- Frequent interaction with residents, families, staff, and visitors.
