Benefits & Leave Management Coordinator
Support the Human Resources Department with employee benefits administration and leave management activities. The Benefits & Leave Management Coordinator is responsible for administering employee benefit programs, coordinating leave of absence processes, maintaining accurate benefits and leave records, conducting audits and reconciliations, supporting compliance requirements, and serving as a resource for employees regarding benefits and leave-related inquiries. This is a full-time, 100% onsite role.
Leave Administration
- Administer and maintain records for all employee leaves of absence, including FMLA, Paid Family Leave (PFL), disability, workers' compensation, personal leave, and other protected leaves.
- Process employee leave status changes and ensure accurate tracking within HRIS and payroll systems.
- Process and coordinate payroll transactions related to employee leaves of absence, including unpaid leave adjustments, disability integrations, Paid Family Leave (PFL), workers' compensation offsets, benefit deductions, and return-to-work payroll reinstatements to ensure accurate and timely employee pay.
- Monitor leave utilization, return-to-work dates, and required documentation to ensure compliance with company policies and applicable regulations.
- Conduct routine audits of leave records to ensure accuracy, completeness, and compliance.
- Coordinate with employees, managers, payroll, and third-party administrators regarding leave-related matters and status updates.
- Ensure paid time off and leave-related payroll transactions are accurately applied and recorded.
Benefits Administration
- Administer employee benefit programs including medical, dental, vision, life insurance, flexible spending accounts, and other employer-sponsored benefits.
- Process benefit enrollments, qualifying life event changes, terminations, and coverage updates accurately and timely.
- Review employee benefit elections and payroll deductions to ensure accurate enrollment and billing.
- Reconcile monthly benefit invoices and carrier statements; identify discrepancies and coordinate corrections with vendors and payroll.
- Assist with annual Open Enrollment activities, employee communications, benefit presentations, and enrollment support.
- Respond to employee inquiries regarding benefit eligibility, coverage, enrollment procedures, and plan provisions.
- Assist with Affordable Care Act (ACA) reporting, audits, and compliance activities.
Reporting & Compliance Support
- Prepare and maintain recurring benefits and leave management reports, tracking logs, and compliance records.
- Assist with data collection, validation, and reporting for audits, regulatory filings, and management requests.
- Maintain accurate electronic records and documentation related to benefits and leave administration.
- Support special projects, process improvements, and departmental initiatives as assigned.
- Other duties as assigned.
Experience, Education and Special Requirements
- Associate's degree required;
Bachelor's degree preferred. - Minimum three (3) years of experience in benefits administration, leave management, human resources, or a related field.
- Experience administering FMLA, PFL, disability, workers' compensation, and other leave programs.
- Strong knowledge of employee benefits administration and benefits compliance requirements.
- Experience with ADP Workforce Now and benefits administration systems required.
- Strong Excel skills, including formulas, data analysis, and reporting.
- Excellent organizational, analytical, and problem-solving skills.
- Strong written and verbal communication skills with the ability to effectively interact with employees at all levels of the organization.
- Ability to maintain confidentiality and handle sensitive employee information with discretion.
- Nonprofit experience preferred.
