Position OverviewThe York School Department is seeking a highly organized, proactive, and communicative Transportation Coordinator. This role is the central hub for all student transit operations, ensuring that every student is transported safely and on time.
The Transportation Coordinator will serve as the primary liaison between the York School Department and York student families and staff with regards to all aspects of student transportation.
Key ResponsibilitiesExternal Partnership Management
Act as the primary point of contact with external transportation partners to ensure accountability with contract compliance, service quality and adherence to York School Department policies and procedures.
- Collaborate with the external transportation partners on route planning, timing, and efficiency using licensed software.
- Ensure that communication regarding route status (daily expected pick up and drop times, location of bus, etc.) is communicated in real time to parents.
- Address and resolve daily operational issues, such as delayed routes, mechanical breakdowns, or driver shortages.
- Work with external transportation partners as well as Town of York and State of Maine agencies on recommended emergency protocol procedures.
- Work with school principals and external partners on amendments to routes, disciplinary problems, etc.
- Work with external partners to address transportation requirements that fall outside of the existing contract, namely extra‑curricular events.
In‑House Fleet Operations
- Supervise nine (9) full and part‑time van drivers and one (1) part‑time transportation coordinator assistant for both school year and summer programming transportation needs.
- Recruitment and hiring of replacement and substitute drivers.
- Accountable for contract compliance, service quality and adherence to York School Department policies and procedures.
- Manage databases for the scheduling, maintenance, and dispatching of the district’s internal fleet (SUVs and vans) and driver work assignments with seamless transfer of information to the Finance Department.
- Responsible for the management and use of Verizon Connect™ software.
- Coordinate specialized transport for students attending out‑of‑district schools or programs.
- Coordinate transportation for extracurricular activities with Athletic Directors and teachers.
- Work closely with the school administrators to create work assignments for non‑driving hours.
- Ensure all district vehicles meet safety standards and state inspection requirements.
- Manage driver certifications and training for staff operating in‑house vehicles.
Communication & Liaison
- Maintain the transportation section of the district website and manage mass‑notification systems (email, SMS, app alerts).
- Address parent concerns and inquiries with professionalism and a problem‑solving approach.
Administration & Logistics
- Maintain accurate records, including mileage logs, fuel consumption, and student rosters.
- Process transportation requests for field trips, athletic events, and special education requirements.
- Ensure all operations adhere to local, state, and federal safety regulations.
- High School diploma or equivalent.
- Valid State of Maine Criminal History Records Check approval.
- Minimum three (3) years transportation or dispatching experience, with school transportation system experience preferred.
- Ability to perform job duties calmly and in accordance with established procedure in stressful situations requiring quick action.
- Knowledge of the geographic area and ability to read maps and understand routes.
- Demonstrated ability to work with diverse groups including parents and various school and department staff.
- Ability to read and understand rules, regulations and laws.
- Experience with industry standard computer software and applications.
- Valid class B, CDL Maine Drivers License, P and S Endorsements preferred.
- Must submit to Drug and Alcohol history check for DOT regulated testing and not have an addiction to the use of alcohol and narcotic drugs.
- May be required to drive a bus route when manpower dictates.
- Performs other tasks relevant to the Transportation department as assigned by the Facilities and Transportation Manager.
