Full Role Description
Mana Accounting & Advisory is hiring a part-time bookkeeper to join our small, high-trust team. We provide outsourced accounting, cleanup, and financial operations for law firms and tech/SaaS startups, so this role goes beyond standard transaction entry. You will help maintain accurate books, build reliable month-end processes, and produce clear financial information that leaders use to make decisions.
This position is remote, and candidates must be based in Pennsylvania. The role starts part-time at 15–20 hours per week and may grow into a full-time role. Mana values flexibility. You do not need to work fixed 9 to 5 hours. As long as work is completed to deadline and communication is timely, we welcome schedules outside typical business hours. The only synchronous requirement is availability for scheduled check-ins with your supervisor each week.
Whatyou will do
- Maintain client books in Quick Books Online, Zoho Books, or Digits, including transaction coding, reconciliations, and journal entries.
- Lead month-end close tasks and produce clean P&Ls, balance sheets, and cash flow summaries.
- Handle AP/AR workflows, invoicing, and payment reconciliation; support payroll entry and payroll reconciliation when needed.
- Build and maintain schedules for deferred revenue, prepaid expenses, and other month-end adjustments.
- Support law-firm specific needs such as matter-level ledgers and trust/IOLTA awareness if applicable.
- Assist with bookkeeping cleanups, system setups, and integrations across bill payments, payroll, and bank feeds.
- Standardize processes and document SOPs so outputs are consistent.
- Communicate clearly with the Mana team members and clients to resolve questions and explain financial results.
- 3+ years of bookkeeping experience for small businesses, firms, or agencies.
- Strong hands-on experience with general ledger tools such as Quick Books Online and/or Zoho Books.
- Solid month-end close experience including reconciliations, journal entries, and preparing P&L and balance sheet reports.
- Strong Excel skills and comfort with spreadsheet-based schedules (pivot tables, lookups) and Google sheets.
- Excellent attention to detail, organization, and a commitment to delivering accurate, audit-ready work.
- Reliable internet and the ability to work remotely while being based in Pennsylvania.
- Strong verbal and written communication skills and an ability to interact professionally with clients.
- Experience supporting law-firm accounting needs, including matter-level ledgers or trust/IOLTA basics.
- Familiarity with integrations and tools such as Ramp, Gusto/Quick Books Payroll, bank feed automation, and Zapier or other workflow tools.
- Experience performing bookkeeping cleanups and setting up repeatable month-end processes.
- Experience with practice management software such as Karbon.
