Executive Assistant

The Executive Assistant provides key administrative, strategic, and operational support to the Pennsylvania Substation leadership team. This role requires exceptional judgment, professionalism, and the ability to operate as a seamless extension of the executives. The ideal candidate is proactive, highly organized, skilled at managing complex relationships, and capable of coordinating activities on behalf of the executives in internal settings as well as supporting executive activities related to external stakeholder engagement.

Responsibilities include:

  • Safety:
    Demonstrate a solid commitment to all aspects of safety, including maintaining a safe workplace for coworkers.
  • Executive Support & Administration:
    Provide sophisticated calendar and travel management, complete a broad range of administrative tasks, keep senior leaders well informed, maintain discretion and confidentiality, organize and maintain filing systems, and support other executives as needed.
  • Meeting Leadership & Coordination:
    Coordinate meetings and events, represent executive priorities, anticipate issues, ensure meeting preparation materials are complete, and track post-meeting actions.
  • Strategic Partnership & Operational Support:
    Serve as a trusted partner to the senior leader, read and analyze information to support decision-making, manage complex situations, support cross-functional coordination, draft internal and external communications, and build effective relationships with stakeholders.

Qualifications include:

  • High school diploma or GED required.
  • Minimum of 7 years of experience in progressively responsible administrative support roles.
  • Expert proficiency in Microsoft Office, including Outlook, PowerPoint, and Excel; experience with Concur, Coupa, and/or SAP preferred.
  • Excellent verbal and written communication skills.
  • Proven ability to meet deadlines and make informed decisions about priorities and time management.
  • Exceptional organizational skills with impeccable attention to detail.
  • Demonstrated commitment to performance excellence.
  • High level of integrity, professionalism, and discretion in handling confidential information.
  • Strong business acumen and ability to make sound judgment calls.
  • Ability to build effective relationships with stakeholders at all organizational levels, including senior executives, employees, customers, and external partners.
  • Ability to think creatively and respond quickly in high-stakes situations.
  • Proven track record of thriving in a fast-paced environment while maintaining high accuracy.
  • Strong teamwork skills with a collaborative and service-oriented approach.
  • Ability to work independently on special assignments and recommend process improvements.
  • Excellent customer service skills, interpersonal effectiveness, and relationship-building capabilities.
