Operations Coordinator-Service​/Repair; York

TK Elevator is currently seeking an experienced Operations Coordinator
- Service/Repair in York, PA.

Responsible for performing all administrative duties associated with the service operations department so that the department functions efficiently and cost effectively.

ESSENTIAL JOB FUNCTIONS:

• Updates Shifts (On-Call) in Sales Force daily
• Emails On-Call and Down Asset list at EOD to appropriate technicians and supervisor.
• Maintains Asset Shutdown Tracker
• Maintains Shared Vacation Calendar
• Assists with correcting Timesheets for field employees
• Receives incoming parts in Jaggaer
• Responsible for ordering parts submitted by mechanics via Product Requests
• Upon request, run Account History Reports
• Assign, create and move tickets in Gantt (upon request of the technicians and/or superintendents)
• Review and resolve issues with invoices that are on hold
• Retrieve and distribute USPS mail
• GL Code utility invoices in Appian
• As needed, updates asset attributes manually
• As needed, updates customer location name and address manually
• Submits Change Orders for contracts to Shared Services through Sales Force
• Directs incoming phone calls to York & Baltimore office personnel
• Updates periodic test dates in Sales Force (N/A if office has Testing Coordinator)
• Managing all Sales Force Cases
• Updates Office Closure Form and/or in Sales Force

EDUCATION & EXPERIENCE:

• High school diploma or GED (general education degree); or one-year certificate from college or technical school; or three to six months related experience and/or training in basic business administration
• Some elevator repair administrative work preferred
• Oracle database knowledge
