Provides daily operational leadership for academic advising within the assigned college(s). Supervises advising staff, oversees caseload distribution and workflow, coordinates communication and processes, and ensures advising practices are implemented consistently in alignment with university policy and established standards. Supports training implementation, maintains advising accuracy in systems, and oversees routine decision-making and operational needs for the college(s). Supports student persistence, retention, and degree completion by ensuring effective advising operations at the college level.
Assists higher level administrators as applicable to the assigned area in the general oversight of operations and services as related to any assigned program, initiative, or objective, including supervision of staff. Works under direction and receives assignments and orders in general terms and is usually expected to complete an assignment within a determined time frame but is free to work out the details and sequences.
Interprets regulations, policies, etc. for the guidance of other employees or the public; administers regulations and/or policies.
Position Information
Essential Functions and Responsibilities :
Provides general oversight and administration of any assigned program, initiative, or objective, including supervision of staff. Assigns and reviews work; establishes time frames for the completion of assigned tasks; trains and orients new employees; approves/disapproves requests for paid leaves; interviews candidates for employment and makes recommendations for hire; evaluates employee work performance; receives and responds to grievances; helps with the development of unit work procedures and policies.
Implements the vision and strategic goals established, ensuring alignment with the university's Student Success Plan and Academic Master Plan.
Supervises and supports a team of professional academic advisors, providing regular coaching, workload management, and professional development.
Coordinates advising operations, including caseload assignments, student communication plans, and use of YSU advising systems as applicable. Ensures each advisor has an accurate, up-to-date working list of their assigned advisees, including current contact information, to support proactive outreach, check-ins, documentation, and intervention when needed. Oversees the accuracy of Banner advising assignments and coordinates updates through the established process so advisors always know which students they are responsible for.
Ensures advising consistency across colleges through shared protocols, templates, and standards for student engagement, documentation, and escalation.
Collaborates with the Office of the Provost and the Student Success Collaborative to support and implement advisor onboarding and training as directed by central leadership, ensuring consistency.
Monitors advising performance using defined key performance indicators (KPIs), ensuring continuous quality improvement and data-driven decision-making.
Supports cross-campus collaboration to ensure academic policies, curriculum changes, and degree pathways are accurately reflected in advising systems.
Analyzes advising data, student outcomes, and workflow metrics to inform process enhancements.
Prepares regular reports for leadership and campus partners summarizing advising activity, caseload distribution, and student success outcomes.
Uses CRM and analytics dashboards to track early alerts, intervention impact, and student progression.
Serves as liaison between central advising leadership and assigned colleges, fostering two-way communication to support student success initiatives.
Collaborates with college advising directors, faculty mentors, and support units as needed to ensure integrated student support.
Assists in coordinating advising communication strategies, including orientation advising, early alert outreach, and degree completion campaigns.
College-Specific Responsibilities:
College-specific duties will be incorporated into this role as designated by the academic unit and may vary based on programmatic and operational requirements.
Other Functions and Responsibilities:
Trains new hires.
Performs other duties as assigned and/or required that are within the level of responsibility for this classification at the discretion of the supervisor.
