JOB SUMMARY
Under the direction of the Deputy Court Administrator/14A, supervises and participates in the administrative/clerical functions of the 14A District Court. Provides day-to-day supervisory and operational oversight to the site to which assigned. Performs related work as assigned.
EXAMPLES OF DUTIES- Supervises and participates in the processing and maintenance of the court case files and performance of general clerical functions in all the court administrative units. Assigns work, reviews and evaluates performance, maintains time records and performs related personnel functions.
- Oversees the receipt of large sums of money (fines, costs and bail bonds), maintenance of accounting records and bank deposits. Assists in the balance of the books. May prepare monthly transmittal of court revenue. May reconcile account records and checkbook balances to monthly bank statements.
- Plans, organizes, assigns, directs, reviews and evaluates the work of assigned Deputy Court Clerks. Administers testing and screens applicants for jobs available. Participates in evaluation, disciplinary action and termination as necessary. Selects personnel and provides for their training.
- Advises and assists other court personnel with difficult or unusual problems.
- Participates in scheduling proceedings before the court, sends out notices regarding schedules, and coordinates proceedings among the judge, defense attorneys, prosecutor and other court participants. Schedules recorder coverage for their court location.
- Collects and maintains data on court activity and prepares regular monthly reports.
- Provides the public, other courts and law enforcement agencies information on specific cases and court procedures in general.
- Prepares dockets. Prepares forms for specific case referrals to other agencies (driving schools, alcohol education, commitments to jail, etc.)
- May serve as jury clerk, administering orientation, juror attendance records, juror selection and swearing in. Requests panels, enters deferrals/excusals, orders printouts and other materials, and posts attendance.
- Oversees daily cash out and preparation of bank deposits, and is signatory to all bank accounts.
- Participates in periodic management meetings with Court Administrator, and contributes to the formulation of work rules, improvement of administrative operations, and solution of administrative problems.
- Provides guidance and troubleshoots computer problems. Facilitates notifying appropriate contact for repairs.
- Facilitates repair of building and equipment repairs.
- Enters time and attendance (used and earned) on departmental and County payroll systems. Verifies actual to calculated bi-weekly for processing. Verifies paychecks and departmental reports for compensatory time banks, vacation, sick, and personal time balances. Distributes paychecks to employees.
- Verifies and files weekly timesheets and leave slips. Maintains a tracking system of compensatory time banks, vacation, sick and personal time balance.
- Maintains Employee Manual, making updates as necessary.
- Tracks disqualifications and S.C.A.O. assignments.
- Processes Witness Fee Certificates.
- Contacts and arranges interpreters as needed.
- Performs related duties as assigned.
