Overview

Payroll Specialist — Yuma Elementary School District One.

Purpose:

The job of Payroll Specialist is to provide support to department activities with specific responsibility for maintaining accounting records, preparing financial statements and reports; processing payroll details; ensuring compliance with mandated requirements.

Working Calendar: 256 days.

Qualifications
  • High School Diploma or equivalent.
  • Proof of MMR.
  • IVP Fingerprint Clearance Card.
Responsibilities
  • Assists other staff, site personnel and a variety of outside parties regarding procedures and/or program requirements for the purpose of providing support for completing transactions, identifying appropriate action and/or complying with established financial procedures.
  • Compiles payroll information related to work assignments (e.g., worker’s compensation claims, new hire contracts, meal reimbursements, employee deductions, missed time card punches, overtime reports, etc.) for the purpose of providing required documentation and/or processing information.
  • Conducts health insurance orientations (e.g., introducing personnel, payroll, and benefit policies, etc.) for the purpose of ensuring employees are knowledgeable of current practices and administrative processes.
  • Coordinates the payroll process with other departments and sites for the purpose of delivering services in compliance with established guidelines.
  • Distributes payroll and other documents for the purpose of providing documents in a timely manner.
  • Implements state and federal laws and regulations pertaining to district programs and department operations for the purpose of providing direction and/or complying with mandated requirements.
  • Maintains a variety of payroll information, files and records (e.g., purchase orders, invoices, shipment verification, vendor files, confidential records pertaining to garnishments and other matters affecting employees payroll, etc.) for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines.
  • Monitors assigned payroll activities and/or components (e.g., leave time, work location, flexible spending accounts, annuity deductions, etc.) for the purpose of ensuring compliance with established financial, legal and/or administrative requirements.
  • Participates in unit meetings, in-service training, workshops, etc. for the purpose of conveying and/or gathering information required to perform job functions and stay updated on department policy, procedures and regulations.
  • Performs record keeping and clerical accounting activities for the purpose of preparing and processing payroll for the district.
  • Prepares a variety of payroll related documents (e.g., invoices for over payment, retirement plan transfers, payroll register, stop payments, W-2 controls, Third Party Administrators, ACH file, etc.) for the purpose of documenting activities, providing reference, conveying information, and complying with established financial, legal and/or administrative requirements.
  • Processes a wide variety of payroll documents and materials (e.g., time sheets, withholding information, COBRA, employee contributions, etc.) for the purpose of disseminating information to appropriate parties.
  • Processes and reconciles payroll related data (e.g., ACH file, time sheets, withholding information, employee deductions, 403b accounts, etc.) for the purpose of updating information, authorizing timely payment, and/or complying with established payroll practices.
  • Researches discrepancies of payroll information and/or documentation (e.g., time sheets, leave time, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing.
  • Responds to inquiries regarding payroll procedures (e.g., wage levies and garnishments, savings, contributions, direct deposits, etc.) for the purpose of providing necessary information for making decisions, assisting employees, taking appropriate action and/or complying with established fiscal guidelines.
