Summary: The Administrative Assistant provides high‑level, independent administrative support by conducting research, preparing statistical reports, handling information requests, attending meetings, and completing various projects. The role acts as a liaison for the executive director and medical director between board members, physicians, staff, other healthcare organization representatives, patients, patient family members, government and regulatory agencies, professional associations, vendors, and the news media.
It also includes general office and clerical work; coordination of meetings; handling confidential information.
Responsibilities:
- Provide efficient and effective management support to the department(s), preparing documents in an organized, accurate, legible, and confidential manner and following up as needed.
- Schedule and maintain the director’s calendar on a daily basis and coordinate director’s events and meetings.
- Screen and distribute mail for directors or designees, and respond to director’s correspondence and reports.
- Develop new office procedures as needed and organize and maintain all files and records accurately.
- Handle confidential information and compile statistics utilizing analytical data, including tracking mandatory/safety training and licensure/certification for staff and units to meet state and regulatory agency standards.
- Compile statistics and design presentations; coordinate competencies for department personnel.
- Maintain confidential personnel files, prepare agenda, meeting minutes, and supporting materials for teams, committees, and/or council meetings, and assist facilitators with follow‑up actions.
- Ensure that reports, studies, and other materials requested by teams/committee(s)/council(s) are prepared.
- Attend and participate in all meetings and subgroups; assist in facilitating meetings in the absence of the director and ensure compliance with bylaws, policies, and procedures.
- Support quality assurance, performance improvement programs, pay‑roll time and attendance activities, and budgetary expenses, including purchases of supplies, equipment, and capital items.
- Process check requests for reimbursements, continuing education, and subscription renewals accurately and timely, and maintain an adequate level of supplies in a cost‑effective manner.
- Perform other duties as assigned.
Requirements:
- 3+ years related administrative experience.
- High School Equivalency Diploma.
