Under direction, to perform secretarial and clerical duties requiring use of discretion in determining alternatives from well‑defined guidelines in relieving a manager and/or administrative assistant of routine administrative detail; and to perform related work as required.

While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear. The employee frequently is required to reach with hands and arms. The employee is occasionally required to stand; walk; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 10 pounds.

While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The noise level in the work environment is usually moderate.
Essential DutiesMaintains calendar and appointments of the supervisor; screens telephone calls and personal callers, referring them to appropriate persons; relays messages and instructions from supervisor to subordinates; establishes and maintains subject matter files in connection with the work under supervisor's control; gives out information over the counter or telephone where judgment, knowledge and interpretation of routine departmental procedures and regulations are necessary;
collects and selects information and compiles data from a number of sources for incorporation into periodic reports; may take and transcribe dictation; prepares forms required for personnel transactions, requisition forms, purchase orders, and maintains records of time worked, overtime, and absences; arranges conferences and meetings and takes minutes of meetings; makes travel arrangements; types a variety of correspondence, reports and other materials;
composes routine correspondence for supervisor; orders supplies; may assign and review the work of a small clerical staff.
Any combination of education and experience sufficient to directly demonstrate possession and application of the following:
- Knowledge of modern office practices and procedures, including (depending on assignment) computer word processing, spreadsheets, database applications and the internet; correct English usage, grammar, punctuation and spelling; basic mathematics; principles of supervision and training; and report writing may be required at the II and III levels.
- Ability to interpret and apply office policies and procedures; use discretion in organizing activities, setting priorities and in communication; compose correspondence independently; gather and compile data for periodic reports; and carry out projects with minimal instructions.
A valid typing certificate dated within the past three years must be submitted with the application, unless you are a county employee and have already submitted a valid typing certificate.
Technical Requirements- Type at a speed of not less than 45 words per minute net from clear copy.
- Two years of clerical experience including some experience at the secretarial level.
