Job Summary
This position is advertised from the minimum to the mid-point hourly rate. Salary will be determined based on education and experience at the time of offer. Under general supervision, performs administrative, office and/or clerical work of moderate difficulty; maintain records related to statements filed by property owners within County for property tax valuation and appraisal purposes and process legal documents. This position has department specific responsibility.
Natureof Work
(Illustrative Only) Assists with documentation and explanations of guidelines relating to the State's exemption and senior freeze programs; maintains various types of property and ownership changes files, both physical and electronic; maintains mailing and property addresses for all secured and unsecured properties; identifies assessor parcel numbers from legal descriptions, owner names or property addresses; provides customer service to the taxpayers on the phone and in the office;
provides courteous, high quality service to members of the public by personally responding to requests for service or making appropriate referral; answers routine questions from the public and process confidential and sensitive documents; assists with the training of new employees of policies, procedures and programs; verifies tax information has been paid in full to complete 504 forms in order for customers to move, obtain a bonded title, transfer title, obtain duplicate title, plate a unit, relocate unit out of the state or country, for an affidavit of release or affidavit of affixture of a mobile or manufactured unit;
daily review the newspaper to view special events; such as comings and goings, fires for the purpose of inputting the information into Tyler as well as notifying an appraiser for tax and value of the property for tax purposes; accepts payments from customers who have come in requesting copies of miscellaneous documents, maps, etc.; verifies or audits claims for correct and complete information;
sets up, adjusts and operates electronic imaging equipment; may assist with business personal property to complete the required duties before the deadline; prepares documents for scanning; receives, sorts, indexes, files, and retrieves forms, correspondence, and documents; enters data into computer; checks and completes records, forms, and documents; develops and maintains office records and files; receives, and responds to correspondence and operates a variety of office machines;
answers routine and extraordinary questions from the public; prepares and processes confidential and sensitive documents; may be required to successfully qualify and apply for notary public certification; regular and reliable attendance is required; performs other duties as assigned. Exemptions/Valuation Freeze Programs May be responsible for:
Being familiar with and having a good understanding of Arizona Revised Statutes governing the State's exemption and valuation freeze programs; gathering, collecting, requesting documents, and working directly with exemption and/or valuation freeze applicants; qualifying applicants under one or both programs; annual and biennial notifications and follow-up with applicants in one or both programs; any reports relating to the exemption and valuation freeze programs as requested by supervisorial personnel.
Tax Roll Corrections May be responsible for:
Being familiar and having a good understanding of Arizona Revised Statutes governing qualifying corrections to the tax roll; daily processing of all tax roll corrections from various sections of the department; maintaining good open lines of communication with the Treasurer's department and Clerk of the Board during the tax roll correction process; meeting statutory deadlines relating to account follow-up on tax roll corrections in process;
coordinating tax roll corrections requiring Board of Supervisor approval with the schedule for Board meetings and Clerk of the Board submission deadlines and requirements; any reports relating to the tax roll correction process as requested by supervisorial personnel.
