Key Responsibilities- Process customer orders for assigned sales representatives via phone and email
- Communicate proactively with the Sales Team regarding order status, inventory availability, and shipments
- Prepare and distribute sales reports as requested to support sales planning and forecasting
- Maintain accurate customer and sales records to ensure reliable reporting and sales activity tracking
- Perform additional administrative and operational tasks as needed to support the Sales Team and overall business operations
- Answer incoming calls and provide friendly, professional customer service for orders and general inquiries
- Track customer orders from entry through invoicing to ensure accuracy, completeness, and timely fulfillment
- Follow up with customers regarding payments and waivers
- Maintain up-to-date customer records, including addresses, pricing, and sales history
- Monitor inventory levels and place seed orders as needed to maintain product availability
- Communicate with suppliers regarding seed availability, order status, and delivery timelines
- Coordinate seed transfers between locations as required
- Place seed orders and coordinate with other Sales Coordinators to meet supplier minimums while avoiding duplicate purchases
- Track booking amounts and confirm whether orders are booked/contracted or fulfilled as spot purchases
- Process seed reclasses, including changes to treatment, pelleting, or priming that impact cost and part numbers
- 3-5 years of experience in sales support or related role
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to work independently and manage multiple tasks efficiently
- Strong attention to detail and excellent organizational skills
- Work Hours:
Monday–Friday, 8:00 AM–4:30 PM (includes a 30-minute lunch break)
