Position: Executive Assistant 60%
Location: Zürich

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and strategic support to senior executives within a leading multinational engineering company. The ideal candidate will act as a trusted partner to leadership, ensuring smooth daily operations, efficient communication, and effective coordination across global teams.

Key Responsibilities
  • Provide high-level administrative support to senior executives, including complex calendar management, meeting coordination, and travel arrangements.
  • Act as the primary point of contact between executives, internal teams, and external stakeholders.
  • Prepare presentations, reports, briefing materials, and correspondence for executive meetings and business reviews.
  • Coordinate international travel, including itineraries, visas, accommodations, and expense management.
  • Organize and support board meetings, leadership meetings, and global conferences, including agenda preparation and minute-taking.
  • Manage confidential information with the highest level of discretion and professionalism.
  • Support cross-functional projects and initiatives, ensuring deadlines and deliverables are met.
  • Monitor and prioritize incoming communications, ensuring timely responses and follow-ups.
  • Assist with budget tracking, procurement processes, and vendor coordination when required.
  • Contribute to improving administrative processes and operational efficiency within the executive office.
Qualifications
  • Minimum of 5 years of experience supporting senior executives, preferably in a multinational or engineering/technical environment.
  • Excellent organizational and time management skills with the ability to manage multiple priorities simultaneously.
  • Strong communication skills in German and English; additional languages are a plus.
  • High level of discretion and professionalism in handling sensitive information.
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and digital collaboration tools.
  • Ability to work in a fast-paced, international environment and collaborate across different cultures and time zones
